Client Portal Software for Accountancy Firms

Give clients secure portal access. Create and invite portal users, track invitation status, resend invites and revoke access in one click.

Invite the people who should have access, see the invitation status, and remove access the moment it should end.

The client portal in Remindoo gives an accountancy firm's clients their own access. From Client Portal Management on the profile you create portal users, invite them by email, see the invitation status, resend invitations and unlink a user to remove access immediately.

Key facts

  • Client Portal Management sits on the client profile
  • Create a client portal user manually and enter their name and email
  • Invite Client User sends the portal invitation by email
  • The status column shows the invitation state
  • Resend Invitation covers invitations that go unanswered
  • Unlink Client User, with confirmation, removes access immediately
  • The E-Signature section holds client portal documents, with Upload Document

The problem

Documents sent by email

Accounts and tax computations go out as attachments, and once they are sent there is no getting them back.

No control over access

Nobody is quite sure who at the client has been given what, because it was all arranged one email at a time.

Leavers keep their access

A finance manager moves on and still receives everything, because removing them was never anybody's job.

How Remindoo fixes it

Who it's for

Practice managers

How it works in Remindoo

Open Client Portal Management on the client profile.

Create a client portal user manually.

Enter the user's name and email address.

Click Invite Client User to send the portal invitation by email.

The status column confirms the invitation has been sent.

Resend the invitation if it goes unanswered.

Use Unlink Client User to remove access.

Confirm to revoke portal access immediately.

The E-Signature section holds client portal documents, with Upload Document.

Why it matters for UK accountancy practices

Accountancy firms handle personal and financial information daily, and UK data protection law expects that data to be handled with appropriate security. Email attachments are convenient and, once sent, entirely outside the firm's control.

A portal changes the shape of that risk. Access is granted to a named user, the firm can see whether the invitation was accepted, and access can be withdrawn the moment someone leaves the client's business — which is precisely the scenario email cannot handle.

It also helps with the everyday reality of chasing records ahead of a VAT return under Making Tax Digital or a Self Assessment deadline: the client has one place to go, and the firm has one place to look.

Frequently asked questions

It is a secure area where your clients access what your practice shares with them, instead of relying on email attachments. In Remindoo you manage it from the client profile: you create portal users, invite them, track the invitation status and remove access when it is no longer needed.

Open Client Portal Management on the client profile, create the portal user manually, enter their name and email address, then click Invite Client User. The invitation is sent by email and the status column confirms that it has gone out.

Yes. Portal users are created individually on the client profile, so a company with a director and a bookkeeper who both need access can have a user each, with their own invitation status and their own access that can be removed separately.

Use Unlink Client User on the client profile and confirm. Access is revoked immediately, which is what you want when a contact leaves the client's business or when an engagement ends and access should not continue.

The status column shows where each invitation stands, and Resend Invitation sends it again. That covers the common cases of an invitation going unanswered, being missed in a busy inbox or being filtered out as spam.

The E-Signature section on the client profile holds client portal documents, and you can add to it with Upload Document. That gives the practice a defined place to put what the client needs rather than attaching it to an email.

Built for UK practice growth

Every deadline. Every client. One system.

Start with the workflows that cause the most chasing, then bring leads, AML, proposals and clients into the same calm operating system.

Why a single client record matters

When client details, deadlines, documents and conversations are spread across inboxes and spreadsheets, time goes on searching instead of on client work.

One version of the truth

Everyone sees the same services, contacts, deadlines and notes for each client.

Accurate deadlines

Companies House sync brings in company details and filing dates, reducing manual errors.

Better client service

A full timeline means anyone can answer a client question with the history in front of them.

Secure document sharing

A client portal is safer than sending financial documents as email attachments.

Practical tips from UK practice

  • Import companies from Companies House rather than typing details by hand.
  • Record every service a client takes, so recurring work is created automatically.
  • Add a short note after every important client call.
  • Ask clients to upload documents through the portal rather than by email.
