Clients
Client Management Software for Accountants and Bookkeepers
Remindoo gives your practice one connected client record for information, contacts, services, tasks, compliance, documents, communication, deadlines and commercial data, so everyone works from the same up-to-date picture of each client.
Built for UK accountants, bookkeepers and growing accountancy practices.
What is Remindoo client management?

See every client from one central register
The client register is more than a contact list. It is an operational workspace where you search, create, preview, select, sort and filter clients, and review tasks, services, compliance and financial information in one table.
- Search and create clients
- Preview a client without leaving the register
- Select multiple clients
- Sort and filter records
- View totals by client status
- Configure the operational view
Manage Active, Draft, Frozen and Archived clients
Active
Current clients you are working for.
Draft
Clients whose information or onboarding is still being prepared, for example, a signed proposal becomes a draft client.
Frozen
Clients who are not responding but who may come back. Reminders keep going to frozen clients, so the relationship stays warm without active work.
Archived
Former clients retained for history outside the active workflow.
See client totals for each status and filter the register accordingly.
Search, sort and filter client records
Search by name or relevant information, sort supported columns and combine one or several filters to find exactly the clients you need.
- Client status
- Client type
- Assignee
- Service manager
- Partner
- Assigned service
- Pending tasks
- Fee
- Total, average, spent and available hours
- AML risk level
- Digital AML verification
- Identity verification

- Hide columns you do not need
- Show information for a particular workflow
- Freeze important columns
- Keep identifying information visible while scrolling
- Combine column controls with filters
Manage clients in bulk
Bulk email clients
Select several clients and send one relevant communication to the group instead of repeating individual emails.
Bulk reassign clients
Move selected clients to another team member to rebalance portfolios, handle team changes or cover absence.
Bulk change status
Update several clients to the right lifecycle status at once and keep the register accurate.
Bulk delete clients
Remove duplicate or incorrectly created records, subject to permissions and confirmation. Deleted clients cannot be retrieved, only their tax liabilities remain viewable.
Review client fees, hours and capacity
Connect the commercial value of each client with the time allocated and spent delivering their services.
- Total client fees and yearly fee excluding VAT
- Total allocated hours
- Spent and available hours
- Average client hours
- Filter by fees and hours
- Compare allocated and consumed time
Centralise client basic information

- Country of registration
- SIC code
- Company number
- Incorporation date
- Letter of Engagement signed date
- Company UTR
- Authentication code
- Business website
- Client notes
Search fields within a record, keep basic and additional fields separate, edit a single detail or everything at once, and capture practice-specific information with your own custom fields.
Manage multiple client contacts
Add as many contacts as a client needs, search them and add new ones without leaving the client preview.
- Contact type or role
- Separate addresses
- Included and excluded email addresses
- Telephone and mobile numbers

- Verification-statement deadline
- AML supervisory body
- Authorised Corporate Service Provider details
- Person responsible for verification
These records support your firm's verification processes; they do not guarantee compliance.
Connect related clients and entities
Link associated records and move between related people and organisations, for example a company, its directors and a connected business, so complex client structures stay visible.
Related clientsAssign clients, services, managers and partners
- Client assignees
- Service managers
- Partners
- Service-level assignees
- Multiple team members
- Individual and bulk reassignment
Add and manage client services
Add services to a client, assign responsible team members, store service-specific information and see pending-task totals for each service, all without leaving the client preview. Services connect responsibility, work and deadlines, and can link to recurring workflows and task templates where configured.
Track HMRC tax liabilities and authorisation
View tax liabilities associated with a client and keep tax information alongside the record. Record HMRC authorisation status and whether Form 64-8 is signed, then filter to find clients with missing authorisation. Remindoo does not submit returns, make payments or submit authorisations to HMRC.
HMRC liabilitiesBring Companies House information into the workflow
Import company number, type, incorporation date, registered office, SIC codes, status, and accounts and confirmation-statement dates, cutting repeated data entry and feeding dates into the wider register.
Manage client deadlines and important dates
Companies House
Last year end, next accounts date, accounts due date, last accounts made-up date, next accounts period end, and last, next and due confirmation-statement dates.
Corporation Tax
CT600 filing deadline and HMRC Corporation Tax payment date.
Self Assessment
Paper-return deadline, online-filing deadline and next Self Assessment date.
VAT, bookkeeping and payroll
Next VAT filing date, VAT deadline, next bookkeeping date and payroll-run date.
Other compliance
ATED renewal date, MTD ITSA quarter end, identity-verification dates and verification-statement deadline.
Only the dates relevant to each client type apply.
Client deadlinesStore internal information and referral sources
Keep the yearly fee, client-source type and relationship to the source, previous accountant's firm and contact details, and other internal fields separate from client-facing portal content.
Send a professional Letter of Clearance
Store the previous accountant's details and initiate a Letter of Clearance from the client record, keeping the transition connected to the client.
Professional clearanceComplete AML risk assessments and digital verification
Support your firm's AML risk-assessment processes with a structured questionnaire and configurable risk factors, covering areas such as identity evidence, cash-based activity, overseas relationships, complex structures and evidence of trade. Save the assessment, record the risk level, start digital AML verification and track its status from the client record.
Manage portal users, documents and e-signatures
Portal access: create portal users, search by name or email, grant access to client records and see who is also an employee.
Uploading a document stores it against the client from the client preview.
Sharing makes a document available through the portal workflow, uploads are not shared automatically.
E-signatures: prepare documents for signature; once signed, a copy is sent to each party and kept with the record.
Keep a searchable client timeline
- Chronological client events
- Add notes
- Search and filter entries
- Latest events first
- Who performed each activity
- Event dates and times
- Client-created and service-added events
- Service names shown
- Pin important events
- Expand or collapse cards
Review invoices and payment information
See invoice value, invoice count and overdue invoices from the client register and review payment information next to the relationship. Invoicing is being expanded so outstanding balances sit alongside client work.
Preview clients without leaving the register
Open a client preview, move between sections, search, review services, AML, portal access and timeline, edit details and access Companies House information, without repeatedly switching pages.

Invoice information such as value, count and overdue status can be reviewed from the client register. Invoicing is being expanded so outstanding balances sit alongside client work.

A frozen client is one who is not responding but who may come back. Reminders continue to go to frozen clients, so the relationship stays warm without active work, and you can return them to Active when they re-engage.
Can a deleted client be recovered?
No. Deleted clients cannot be retrieved. After deletion you can only view the client's tax liabilities; everything else is permanently removed, so treat deletion as final.
Can I maintain a client timeline?
Yes. The client timeline records events in date order with who performed them, and lets you add notes, search, filter and pin important entries.
Can I send a Letter of Clearance?
Yes. Store the previous accountant's details and initiate a Letter of Clearance from the client record.

Remindoo combines client information, contacts, services, work, deadlines, AML, HMRC authorisation, documents, portal access and history in one practice management system.
Book a personalised demonstration based on your firm’s own process.
Why a single client record matters
When client details, deadlines, documents and conversations are spread across inboxes and spreadsheets, time goes on searching instead of on client work.
One version of the truth
Everyone sees the same services, contacts, deadlines and notes for each client.
Accurate deadlines
Companies House sync brings in company details and filing dates, reducing manual errors.
Better client service
A full timeline means anyone can answer a client question with the history in front of them.
Secure document sharing
A client portal is safer than sending financial documents as email attachments.
Practical tips from UK practice
- Import companies from Companies House rather than typing details by hand.
- Record every service a client takes, so recurring work is created automatically.
- Add a short note after every important client call.
- Ask clients to upload documents through the portal rather than by email.
