Global Settings

Central Practice Settings for Accountants and Bookkeepers

Configure your practice information, email communications, HMRC connections, employee security and preferred AI provider from one central Remindoo workspace. Set consistent preferences across your practice without managing each part of your workflow separately.

Built for UK accountants, bookkeepers and growing accountancy practices.

Configure Your Accountancy Practice from One Place

Global Settings holds the tenant-wide controls that apply across your Remindoo workspace. Keeping practice-level configuration in one administrative area means fewer inconsistencies and less time hunting for the right screen.

Tenant Information

Practice details, administrator and contacts.

Email Settings

Branding, Gmail and Outlook connections, sending preferences.

HMRC

Agent Authorisation accounts and tax-liability connections.

Security

Mandatory multi-factor authentication for employees.

AI Providers

Choose and manage the provider behind supported AI features.

Manage Your Practice Information

Authorised users maintain central tenant details:

  • Active tenant status
  • Practice or company name
  • Default page length
  • International area code
  • Phone number
  • Business address
  • City or town
  • Company number
  • Postcode
  • Region
  • Country of residence

A configurable default page length lets teams control how many records appear at once when working through larger lists.

Maintain Key Practice Contacts

View the current administrator and keep tenant contact information organised, moving between available contacts as needed.

  • Contact names and email addresses
  • Business website
  • Area code and mobile number
  • Address information
  • Nationality and date of birth where required

These are administrative records only — they do not carry out identity verification, HR management or AML checks by themselves.

Create Consistent Practice-Wide Email Branding

Build reusable headers and footers for outgoing emails, helping every team member send communications that look consistent with your brand.

Email header

  • Add your company logo
  • Add a practice tagline
  • Add other standard header content
  • Apply the header to outgoing communications

Email footer

  • Contact information
  • Social links
  • Disclaimers
  • Branded visual content, created in a rich-text editor

The editor supports paragraph and text formatting, font selection and size, bold and italic, colour and background, tables and inserted content, and undo/redo. Preview or edit the standard sections, send a test email, then save the tenant-wide design.

Connect Practice Email Accounts

Remindoo connects with Google/Gmail and Microsoft Outlook, so accountants can manage client communication alongside clients, leads and tasks without switching between disconnected systems.

  • Connect a personal email account
  • Manage emails inside Remindoo
  • Connect a shared company inbox
  • See the connected provider and connection status
  • See when the account was linked and its most recent synchronisation
  • Edit the email display name
  • Disconnect an account

Support Personal Mailboxes and a Shared Company Inbox

Personal mailbox

Each user connects their own inbox.

Shared company inbox

One inbox for practice-wide communication.

Display names

Recognisable names on client correspondence.

Synchronisation visibility

See connection status and last sync at a glance.

Explore Email Management

Control Practice-Wide Email Preferences

  • Monitor your practice's remaining daily email allowance
  • See the tenant's total daily sending allowance
  • Set the reply-to email address
  • Set the name used for outgoing correspondence
  • Apply that name to bulk client emails and similar communications
  • Save tenant-wide preferences

Organise HMRC Agent Authorisation Accounts

Administer the HMRC agent connections your practice uses.

  • View HMRC Agent Authorisation accounts
  • Add a new HMRC account
  • Add an XML HMRC account
  • Manage multiple authorisation accounts
  • Clear guidance when no account has been added yet

Manage HMRC Tax Liability Connections

Connect and manage HMRC agent accounts used to access supported client tax-liability information.

  • Add an HMRC tax-liability agent
  • Connect an agent account
  • View connection validity or status
  • Edit agent details
  • Remove an agent connection
  • Manage access for supported tax areas
  • VAT
  • PAYE
  • Self Assessment
  • Corporation Tax / CT600

This does not file returns, make tax payments, obtain HMRC authorisation automatically or replace Government Gateway security.

See client tax liabilities in Client management

Strengthen Access with Mandatory Multi-Factor Authentication

Make multi-factor authentication mandatory for all employees, applied centrally across the practice, instead of relying on each person to enable it voluntarily. This adds an additional authentication step for employee access to your workspace. See the step-by-step walkthrough in the help centre.

See security settings

Choose Your Practice's AI Provider

Connect a supported AI provider to use Remindoo's AI-assisted functionality, such as the AI financial assistant. Supported providers: OpenAI and DeepSeek.

  • Add a new provider
  • View configured providers and when each was added
  • Select or change the active provider
  • Edit provider-account configuration
  • Remove a provider account

AI output assists your team; it is not regulated financial or tax advice and does not replace professional judgement.

Adapt Remindoo to the Way Your Practice Works

Custom fields define what the practice records, campaigns and reminders manage communication, and notification settings control which operational updates each user receives.

  1. Client fields
  2. Campaigns
  3. Planned reminders
  4. Notifications
  5. Personal preferences

Customise Client Records Around Your Practice

Authorised users manage client fields across three areas:

  • Basic Information
  • Internal Information
  • Contacts
  • Search custom fields and see the total number
  • Add a custom field
  • Edit or delete eligible custom fields
  • Standard system fields are protected from deletion
  • Paginated field lists

Configure each field

  • Field name
  • Compulsory or optional
  • Visible or hidden in the Clients table
  • Applicable client types
  • Field type (text or date)
  • Selectable options where relevant

Apply fields to relevant client types

A field can apply to all client types or only selected ones.

Control Clients-table visibility

Show frequently used fields in the main Clients table without displaying every field.

Protected standard fields

Standard fields, such as company name, address, incorporation date or company UTR, may be locked against editing or deletion, depending on the client type. Eligible custom fields stay configurable.

Keep Your Personal Profile Current

Employees can maintain their own profile without needing access to the full Employee List. Roles and permissions are managed separately by administrators.

  • Upload or change a profile photo
  • View your current role
  • Update email address, first and last name
  • Select international area code and phone number
  • Add or update a LinkedIn profile
  • Manage personal security preferences

Personal multi-factor authentication

Each employee can view and manage the MFA setting on their own profile, and the practice can separately make MFA mandatory for all employees from Global Settings.

Monitor Communications Across Your Practice

Campaign Management keeps separate views for Clients, Leads and Employees, so each audience is monitored on its own.

  • Campaign name, preview and recipient total
  • Expand or collapse campaign details
  • Separate audience tabs
  • Select individual recipient rows

Global Settings is the administrative area where authorised users configure tenant-wide options: tenant information, email settings, HMRC connections, security and AI providers. These settings apply across your Remindoo workspace.

Can I manage my accountancy practice information centrally?

Yes. Practice name, contact numbers, business address, company number, region, country and default page length are kept in one place, alongside administrator and contact details.

Yes. You can build a reusable header with your logo and tagline and a footer with contact details, social links and disclaimers, using a rich-text editor.

Can I send a test email before saving my email design?

Yes. You can send a test email to check how the header and footer look before saving the tenant-wide design.

Can Remindoo connect to Gmail?

Yes. Google/Gmail accounts can be connected so emails can be managed inside Remindoo.

Can Remindoo connect to Outlook?

Yes. Microsoft Outlook accounts can be connected in the same way as Gmail.

Why recording every task matters in an accountancy practice

Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.

Avoid penalties

HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.

Nothing depends on memory

Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.

Consistent quality

Subtask checklists make every job follow the same steps and reviews, whoever does the work.

Visibility for managers

Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.

Practical tips from UK practice

  • Set an internal deadline two to four weeks before every statutory deadline.
  • Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
  • Break larger jobs into subtasks, including a review step.
  • Comment on the task instead of by email, so the history stays with the work.
