Planned Reminders
Review sent service and personal task reminders, including recipients, status, send time and error logs.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Automated reminders are only useful if you can prove they went out. Remindoo's Planned Reminders log records every service reminder sent, with the service, subject, number of recipients, number of BCC addresses, status, the exact time it finished and an error log.
For a practice that relies on automated deadline reminders for VAT, accounts, confirmation statements or Self Assessment, this log is the audit trail. If a client says they never heard from you, you can see when the reminder was sent and to how many people. If something failed, the error log shows it, so staff can act before a deadline is missed. Rows marked "No error detected" confirm a clean send.
A separate Personal Task Reminders tab keeps staff reminders apart from client-facing service reminders. Pagination makes it easy to move back through earlier sends.
Having this visibility supports quality control and client service: managers can check reminders are going out on time, and the firm has evidence of its communications if a penalty or complaint arises.
Every automatic reminder, logged
See each service reminder sent — subject, recipients, BCC, status, time and error log — and switch to Personal Task Reminders.
What you can see
- Services and Personal Task Reminders tabs
- Columns: Services, Subject, Recipients, BCC, Status, Finished At, Error Log
- Sent status on each delivered reminder
- Timestamp for every send
- No error detected in the error log
- Email icon on each row and page navigation
Why it matters: You have a clear record of every automated reminder, useful for quality checks and client queries.
Frequently asked questions
Can I control what each employee sees?
Yes. Roles set permissions per module (e.g. create/import clients, delete clients, view fee and hour aggregates) and whether a user sees All clients and tasks or Allocated Only.
Can Remindoo connect to HMRC?
Yes. Add HMRC agent authorisation accounts (including XML) and Tax Liability Agents for VAT, PAYE, SATR and CT600.
Can I enforce MFA?
Yes. Make multi-factor authentication mandatory for all employees.
Can staff connect an AI assistant like Claude or ChatGPT?
Yes, through MCP Access, which an admin can switch off for the whole practice and review per employee.
Can I check whether a client reminder was sent?
Yes. The Planned Reminders log shows each reminder's status, recipients, BCC, time sent and error log.
Are staff reminders shown separately?
Yes. Personal Task Reminders have their own tab.

Why consistent client communication matters
Much of an accountant's week goes on chasing records and answering the same questions. Standard messages and timely reminders cut that chasing down.
Records arrive sooner
Reminders sent well before a deadline give clients time to send what you need.
Professional and consistent
Templates keep tone, content and deadlines accurate, whoever sends the email.
Less manual work
Tokens merge client details into messages, so one template works for every client.
A clear audit trail
Sent messages recorded on the client timeline show what was asked for and when.
Practical tips from UK practice
- Send the first records request at least six weeks before the internal deadline.
- Keep reminder emails short, with one clear action and a date.
- Review templates each tax year so dates and rules stay current.
- Use bulk emails for practice-wide updates such as new rules or office closures.
