Create invoices, monitor outstanding fees, collect payments and automate client reminders from one connected accountancy practice management platform.

Built for UK accountants, bookkeepers and growing accountancy practices.

From invoice to synced payment

Connect your invoice workflow with client records, services, payments and your choice of Xero or QuickBooks.

  1. Create invoice
  2. Approve and send
  3. Client pays
  4. Payment syncs
  5. Status updates

Manage Your Practice Invoicing from One Place

The invoice dashboard gives a central view of billing and payment activity, so you can see unpaid work quickly and decide which clients need a follow-up.

  • Outstanding invoice value
  • Overdue invoice value
  • Draft invoice total
  • Amount paid this month
  • Remaining balances and amounts already paid
  • Credits applied
  • Invoice status, issue dates and due dates

Find and Monitor Every Invoice

Switch between views to focus on what needs attention.

  • All invoices
  • Unpaid
  • Overdue
  • Draft
  • Recurring
  • Credits and notes

The invoice table shows the number, client, issue date, due date, amount, amount paid, credit, remaining balance, status and actions — including sent and partially paid invoices — so reviewing balances doesn't mean opening each record.

Create Detailed Client Invoices

Flexible invoice details

  • Select the client or contact
  • Set issue and due dates
  • Add an invoice number and reference
  • Select a branding theme
  • Choose the invoice currency
  • Choose how tax is applied, including tax-exclusive amounts

Detailed line items

  • Item or service
  • Description
  • Quantity
  • Unit price
  • Discount %
  • Account
  • Tax rate
  • Tax amount
  • Line amount
  • Additional rows

Subtotal, VAT and invoice total are calculated and shown automatically. Invoicing does not submit anything to HMRC.

Save as draft

Prepare invoices and review them before they go out.

Approve

Finalise the invoice once details are checked.

Approve and send

Finalise and send to the client in one step.

Cancel

Leave without saving if something needs rethinking.

Automate Recurring Client Invoices

Set a recurring schedule and Remindoo generates the invoices automatically — ideal for fixed-fee and ongoing work.

  • Monthly bookkeeping fees
  • Payroll services
  • VAT services
  • Ongoing advisory work
  • Annual compliance services
  • Fixed-fee agreements

Keep Every Invoice Consistent with Your Practice Brand

  • Create multiple named, described branding themes
  • Apply your practice logo and colours
  • Add invoice notes and bank details
  • Add PayPal information where configured
  • Set a default theme and choose one per invoice

Give Clients Convenient Ways to Pay

Remindoo includes a payment-collection area where you can view connected providers, track payment activity and record payments manually. Payments are matched through your connected accounting integration.

Stripe

Debit and credit cards, Apple Pay, Google Pay, Link and buy-now-pay-later options where supported by your account.

PayPal

PayPal balance, debit and credit cards, and Pay in 3 subject to PayPal eligibility.

Adfin

Card payments, Open Banking and Direct Debit.

GoCardless

Bacs Direct Debit, SEPA and Instant Bank Pay.

Provider fees and payment-method availability vary by provider and account.

Automate Invoice Reminders Before and After the Due Date

  1. 7 days before
  2. 3 days before
  3. 1 day before
  4. 1 day overdue
  5. 3 days overdue
  6. 7 days overdue

Customise the subject, body, formatting and wording for each stage, with personalisation fields for invoice number, remaining amount, due date, client name, practice name and a payment link when Stripe or PayPal is configured.

Consistent reminders reduce manual chasing and make it clear to clients what is due and how to pay.

Track Invoice Reminder Activity

Reminder logs record the date and time, invoice number, channel, reminder scenario, delivery status and any notes or errors. Logs update as reminders are evaluated, giving you a clear record of payment communications.

Connect Remindoo with Xero or QuickBooks

A practice can connect either Xero or QuickBooks — not both at once — and synchronise relevant accounting information with Remindoo.

Remindoo is a single-entry invoicing system: it handles billing, outstanding balances and payment follow-up, while your connected accounting platform remains the home of full double-entry bookkeeping and accounts.

RemindooXero or QuickBooks
  • Contacts
  • Invoices
  • Payments
  • Automatic synchronisation with a configurable frequency
  • See the last sync, contacts synced and invoices synced in the last 30 days
  • View matched payments
  • See the connected organisation, connection date and who connected it
  • Manage or disconnect the connection

Keep Client and Accounting Contacts Aligned

Contacts synchronise in both directions with duplicate prevention, so you enter details once.

  • Synced
  • Out of sync
  • Remindoo only
  • Run “Sync Now” manually
  • Create a missing contact in the accounting platform
  • View linked accounting records
  • Automatically create missing contacts when no match is found, if enabled

Keep Payment Records Updated Across Both Systems

Payments recorded in Xero or QuickBooks can update Remindoo, and payments recorded in Remindoo can update the accounting platform. The integration dashboard shows matched payments and when it last synchronised. This is payment synchronisation, not bank reconciliation.

Map Practice Services to the Correct Income Accounts

Map each Remindoo service type to its income account in Xero or QuickBooks, with a default account used where no specific mapping exists. Services are grouped into external and internal categories that expand and collapse and show how many service types each holds.

  • Year-end accounts and Corporation Tax
  • Bookkeeping
  • CIS contractor
  • CIS subcontractor payroll
  • Confirmation Statements
  • MTD ITSA
  • Payroll and PAYE
  • Self Assessment
  • VAT

Mapping cuts manual account coding and keeps service income categorised more consistently.

Control How Your Accounting Integration Works

  • Turn automatic synchronisation on or off
  • Choose the sync frequency (currently once daily)
  • Control two-way payment sync
  • Automatically create missing contacts
  • Save or cancel preference changes
  • View connection details or disconnect

More walkthroughs

Why organised billing matters for accounting firms

Late or missed invoices quietly damage cash flow. Linking billing to the services you have agreed with each client makes it easier to charge for all the work you deliver.

Healthier cash flow

Invoices raised on time, with a clear record of what is outstanding, reduce the time spent chasing payment.

Fewer missed charges

When fees are tied to agreed services, one-off extras and recurring work are less likely to be forgotten.

Fewer fee disputes

Clients who signed a proposal or engagement letter setting out the fee are less likely to challenge an invoice.

Better pricing decisions

Seeing what each client pays alongside the work involved shows where fees need reviewing.

Practical tips from UK practice

  • Agree fees in a signed proposal or engagement letter before work starts.
  • Keep your services catalogue up to date, so prices on new proposals are consistent.
  • Review unpaid invoices every week, not only at month end.
  • Review fees annually, and be ready to explain changes in scope.
