How it works
Global Settings is where the practice is set up as a whole. Seven tabs — Tenant Information, Email Settings, HMRC, Security, AI, MCP Access and 3CX Calling — cover the details and connections every user relies on.
Tenant Information records the firm's name, address, company number and region, plus the current admin user's contact details. Email Settings has three parts: an Email Composer for a branded header and footer on every outgoing email (with Send Test Email), Email Connections for syncing personal Gmail or Outlook and viewing the shared company inbox, and Other for the daily email quota, reply-to address and sender name used on bulk and client emails.
The HMRC tab supports HMRC and MTD agent services work. Add HMRC agent authorisation accounts, including XML accounts, and connect Tax Liability Agents covering VAT, PAYE, SATR and CT600, with options to re-authorise, edit and delete.
Security includes one switch to make multi-factor authentication mandatory for all employees, a simple, strong protection for client data under GDPR. The AI tab lets you add providers and choose which is active. MCP Access controls whether employees can connect an AI assistant such as Claude or ChatGPT; it is off by default, can be switched off for the whole practice instantly, and lists who has access with a Revoke option. 3CX Calling links your phone system with a PBX URL and API credentials.
Tenant information
Firm name, address, company number, page length and the current admin user's contact details.
What you can see

Why it matters: Firm and admin details are held once and used across the system, so records stay consistent.
Branded email header and footer
Design a header and footer added to every outgoing email, and send a test email.
Email connections
Connect personal Gmail or Outlook and see the shared company inbox, provider, linked date and last sync.
What you can see
- Connect Personal Email — sync personal Gmail or Outlook to manage emails inside Remindoo
- Google and Outlook connection buttons
- Company Email card — the shared company inbox, marked Connected
- Provider, Linked Since and Last Synced details
- Disconnect button
Why it matters: Client emails are managed inside the CRM, so correspondence sits alongside the client record.
Quota, reply address and sender name
See the daily email quota, set the reply-to address and the name used on bulk and client emails.
What you can see
- Remaining Email Quota / Daily Email Quota with the current count
- Email Address for Replies — receives replies to marketing and automated emails
- Name for Email Correspondence — used on emails such as bulk email from the clients table
- Note that the sender name does not apply to system emails such as mention notifications
- Save Changes button
Why it matters: Replies come back to the right inbox and clients see a sender name they recognise.
HMRC agent authorisation accounts
Add HMRC accounts, including XML accounts, used for client agent authorisation.
Tax liability agents
Connect agents for VAT, PAYE, SATR and CT600 liabilities, with status, re-authorise, edit and delete.

Why it matters: Connecting agents for VAT, PAYE, Self Assessment and corporation tax links your HMRC agent services to the practice.
Mandatory MFA
One switch makes multi-factor authentication compulsory for every employee.

Why it matters: One switch adds a second layer of protection to every login, reducing the risk of a data breach.
Choose your AI provider
Add AI providers and set which one is active for Remindoo's AI features.
What you can see
- AI Providers heading with Add New Provider
- Provider cards (for example DeepSeek and OpenAI) with created date
- Edit and delete buttons on each card
- Set as Active on inactive providers
- Active Provider badge on the one in use
Why it matters: You choose which AI provider powers Remindoo's AI features and can switch at any time.
AI assistant (MCP) access
Let employees connect Remindoo to an AI assistant such as Claude or ChatGPT, see who has access, when it was last used, and revoke tokens. A warning reminds you that connected assistants share practice data with the AI provider.
What you can see
- AI assistant access toggle — lets employees connect Remindoo to Claude or ChatGPT; off by default
- Turning it off stops every connection immediately without affecting normal logins
- Warning that connecting shares practice data with a third-party AI provider
- Who has access table: Employee, Type, Name, Connected, Last used, Status

Why it matters: You keep control of AI access to client data, granting it only where needed and revoking it in one click.
3CX calling
Enter your 3CX PBX URL and API credentials, then save and verify.
What you can see
- 3CX Calling panel
- PBX server URL — base URL of your 3CX PBX
- API client ID — from Integrations → API on your PBX
- API client secret — from your 3CX API integration app
- Save & verify button
Why it matters: Linking your 3CX phone system brings calling into the same platform as your client records.
Frequently asked questions
Can I control what each employee sees?
Yes. Roles set permissions per module (e.g. create/import clients, delete clients, view fee and hour aggregates) and whether a user sees All clients and tasks or Allocated Only.
Can Remindoo connect to HMRC?
Yes. Add HMRC agent authorisation accounts (including XML) and Tax Liability Agents for VAT, PAYE, SATR and CT600.
Can I enforce MFA?
Yes. Make multi-factor authentication mandatory for all employees.
Can staff connect an AI assistant like Claude or ChatGPT?

Why recording every task matters in an accountancy practice
Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.
