Employees, Compensation and Teams
Manage employees, invitations, roles, compensation and working patterns, calculate hourly staff costs and FTE, and organise staff into teams.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Your people are your biggest cost and your capacity. Remindoo's Employee List shows every staff member with status, role and invitation status, filtered by All, Active, Inactive, Invited and Archived. You can resend an invitation, edit a record or remove a user, and switch to a card view.
Adding an employee captures more than a login. User Information covers email, name, mobile, role, job title, department, start date and status, plus the services the person manages as Service Manager or as Partner. The Compensation panel records the earnings method (annual salary or hourly), the gross amount and a weekly working pattern, day by day. Remindoo then calculates yearly, monthly and weekly pay, the hourly rate and FTE. In the example, £32,000 over a 40-hour Monday-to-Friday week gives £15.38 an hour at 100% FTE.
That staff cost per hour figure is what accountants need for pricing and profitability: once you know what an hour of each person costs, you can compare it with the time spent on each client and service. Capacity planning also becomes easier when working patterns are recorded properly.
Teams group staff into units such as VAT, Personal Tax, Accounts, BDM, HR or an offshore team, so work can be assigned to a whole team rather than one person.
Employee list
Active, inactive, invited and archived staff with role and invitation status; resend invites, edit or remove.
What you can see
- Tabs: All Employees, Active, Inactive, Invited, Archived with counts
- Search Employee, New User and Show Card View
- Columns: Name, Email, Status, Role, Invitation, Actions

Why it matters: You can see who has joined, who is still invited and what role each person holds at a glance.
Compensation and working pattern
Add an employee with role, department, start date and the services they manage or partner, plus annual salary or hourly pay and a weekly working pattern. Remindoo calculates yearly, monthly and weekly pay, hourly rate and FTE (e.g. £32,000 over 40 hours = £15.38 an hour) for capacity and profitability reporting.
What you can see
- User Information: Email, names, Role, Job title, Department, Start date, Status
- Services for Service Manager and Services for Partner
- Earnings method: Annual salary or Hourly, with Gross annual amount and auto-calculated Basic rate per hour
- Working pattern with daily hours Mon–Sun and a weekly total
- Calculated Yearly, Monthly, Weekly, Hourly rate and FTE

Why it matters: Remindoo works out each person's cost per hour automatically, giving you the basis for pricing and profitability.
Teams
Group staff into teams such as VAT, Personal Tax, Accounts, BDM and HR, then assign work to a whole team.
What you can see
- Search Teams and Create New Team
- Team cards such as VAT Team, Off shore team, BDM, HR, Personal Tax and Accounts
- Member count on each team
- Member avatars
- Edit and delete buttons
Why it matters: Grouping staff into teams lets you assign and balance work across departments.

Why knowing what each employee is working on matters
In a growing practice, the partner can no longer hold every job in their head. Clear ownership and visible workload are what stop deadlines slipping when someone is on leave, busy or new.
Clear ownership
Every client and task has a named person, so nothing sits unassigned and clients get consistent answers.
Balanced workload
Seeing tasks per person helps managers move work before one person is overloaded and another is waiting.
Cover for absence
When work, notes and history live in one system, a colleague can pick up a job without starting from scratch.
Controlled access
Roles and permissions keep sensitive client and AML data visible only to people who need it.
Practical tips from UK practice
- Group people into teams around services or client portfolios, and name a Team Lead for each.
- Review the employee task breakdown weekly, not only when a deadline is missed.
- Give new starters a limited role first, then widen access as they are trained.
- Use bulk reassignment when someone leaves or goes on holiday, rather than moving tasks one by one.
