Employee and team management
Employee and Team Management for Accounting Practices
Employees are the people, teams organise those people, and roles control what they can access and manage. Remindoo keeps all three connected — group employees into practice teams, appoint a Team Lead and keep team structure separate from system access.
Built for UK accountants, bookkeepers and growing accountancy practices.
Organise Employees into Practice Teams
Create teams that reflect how your accountancy practice operates. Group employees by department, service line or responsibility, appoint a Team Lead and see team membership from a central team directory.
Example teams (examples only — none are created automatically):
- Accounts
- Bookkeeping
- VAT
- Payroll
- Personal Tax
- Corporation Tax
- Business Development
- Client Services
- Offshore Delivery
- Administration

Create and name teams
- Create a team
- Enter a team name
- Search for employees
- Select employees for the team
- Save or cancel the setup
Assign a Team Lead
Select a Team Lead with the crown control during team setup, making it clear who leads each team. Being Team Lead does not by itself give extra permissions — access still comes from the employee's role.
View team membership
- Team cards with the team name
- Number of members
- Employee initials or profile representation
- Search teams
- View each team's make-up
Member totals give administrators a quick view of how employees are spread across the practice.
Reassign employees between teams
The team builder separates employees available for assignment from those already in another team, and shows each employee's current team. Reassign employees between practice teams from the team-management interface. Reassigning someone does not move their clients, tasks, services or permissions.
Edit and maintain teams
- Edit existing teams
- Change team membership
- Update the Team Lead
- Delete a team
- Save or cancel changes
Employees, Teams and Roles Work Together
Employees
An employee record holds the person's contact details, job information, status, compensation information, working pattern and service responsibilities.
Teams
Teams group employees by department, service line or operational responsibility and can identify a Team Lead.
Roles and permissions
The employee's assigned role decides which modules and actions they can access.
- Employee record
- Assigned to a team
- Assigned a role
- Receives module permissions
Team membership organises employees, while role assignment controls system access. Adding someone to a team does not change their permissions.
Connected workflow
- Create employee
- Assign role
- Set working pattern
- Add to team
- Select Team Lead
- Save or send invitation
Connect Teams with Practice Responsibilities
Teams can represent service areas — such as a VAT, payroll or personal-tax team — while each employee record identifies:
- Service Manager responsibilities
- Partner responsibilities
- Job title
- Department
- Assigned role
Joining a team does not assign services or clients automatically.
Find and Manage Practice Teams
- Search teams
- View team cards and member totals
- See team members
- Create, edit or delete a team

Can I create teams in Remindoo?
Yes. Authorised users can create named teams and assign employees to them.
Can I choose a Team Lead?
Yes. A Team Lead can be selected during team setup using the crown control.
Can I see how many employees belong to each team?
Yes. Team cards show the current member total and each member's initials or profile representation.
Can I search for a practice team?
Yes. The Teams area includes team search.
Can employees be moved between teams?
The team builder shows which team an employee already belongs to, and authorised users can select that employee to reassign them to another team.
Does joining a team change an employee’s permissions?
No. Team membership organises employees, while the employee’s assigned role controls which modules they can see and which actions they can take.
Can I edit or delete a team?
Yes. Existing teams can be edited — membership and Team Lead included — or deleted, and changes can be saved or cancelled.

Why knowing what each employee is working on matters
In a growing practice, the partner can no longer hold every job in their head. Clear ownership and visible workload are what stop deadlines slipping when someone is on leave, busy or new.
Clear ownership
Every client and task has a named person, so nothing sits unassigned and clients get consistent answers.
Balanced workload
Seeing tasks per person helps managers move work before one person is overloaded and another is waiting.
Cover for absence
When work, notes and history live in one system, a colleague can pick up a job without starting from scratch.
Controlled access
Roles and permissions keep sensitive client and AML data visible only to people who need it.
Practical tips from UK practice
- Group people into teams around services or client portfolios, and name a Team Lead for each.
- Review the employee task breakdown weekly, not only when a deadline is missed.
- Give new starters a limited role first, then widen access as they are trained.
- Use bulk reassignment when someone leaves or goes on holiday, rather than moving tasks one by one.
