Service Templates
Configure internal and external service templates, estimated time, task templates, frequency options, trigger dates, folders and custom fields.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Service templates are where deadline automation starts. Each service your firm offers — year-end accounts and CT600, ATED, bookkeeping, CIS monthly filing, payroll changes, reference letters — is set up once with its type, status, estimated time, trigger date and task template.
The trigger date is the key setting. It is a date token such as ::ATED Renewal Date::, ::Next Bookkeeping Date:: or ::CIS For the Period Ended:: that ties the service to a date held on the client record. When that date drives the work, recurring tasks and reminders line up with real filing deadlines rather than someone's memory. Internal services such as a change of address can show N/A where no trigger date is needed.
Estimated time (in hours and minutes) gives you a budget for each service, which combines with staff cost per hour to show what a job should cost. Frequency options — Daily, Weekly, Fortnightly, Monthly, Quarterly or Yearly — set which choices are offered on the client side. Folder Automation can create a folder structure automatically when the service is assigned to a client, configured in the task template. Edit Custom Fields lets you manage the fields that belong to the service.
Create Service Templates and Import Service Templates make it quick to build a full service library.
Your service library
Internal and external services with status, trigger date token, estimated time and task template, plus create and import.
What you can see
- Create Service Templates and Import Service Templates
- Columns: Service Name, Type, Status, Trigger Date, Estimated Time, Task Templates
- Internal and External service types
- Trigger date tokens such as ::ATED Renewal Date:: and ::Next Bookkeeping Date::
- Estimated times from minutes to hours per service

Why it matters: Every service, its deadline source and its time budget sit in one library you can maintain centrally.
Frequency, time and trigger date
Set type, status, estimated time, folder automation, client-side frequency options and the trigger date (e.g. ::ATED Renewal Date::), and edit the service's custom fields.
What you can see
- Service Name, Type and Status
- Estimated Time (Hours) and Estimated Time (Minutes)
- Folder Automation toggle for automatic folder creation
- Choose frequency options: Daily, Weekly, Fortnightly, Monthly, Quarterly, Yearly
- Trigger Date dropdown (e.g. ::ATED Renewal Date::) with a note that changes update the custom fields
- Delete, Edit Custom Fields and Update
Why it matters: Linking each service to a trigger date and frequency is what lets Remindoo schedule work around real deadlines.

Why recording every task matters in an accountancy practice
Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.
Avoid penalties
HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.
Nothing depends on memory
Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.
Consistent quality
Subtask checklists make every job follow the same steps and reviews, whoever does the work.
Visibility for managers
Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.
Practical tips from UK practice
- Set an internal deadline two to four weeks before every statutory deadline.
- Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
- Break larger jobs into subtasks, including a review step.
- Comment on the task instead of by email, so the history stays with the work.
