Configure custom lead fields, round-robin employee assignment and website lead capture forms in Remindoo.

How it works
New enquiries are only valuable if they are captured properly and followed up quickly. Remindoo's Lead Settings bring together four tabs: Custom Fields, Custom Statuses, Round Robin Selection and Lead Capture Form.
Custom fields let you record the details that matter for qualifying an accountancy lead. Examples shown include Type of Business (Self Employed, Limited Company), Turnover bands, Payroll & PAYE (Yes, No, N/A) and Services Needed. Each field can be marked compulsory, set as a dropdown and given its own options, so every lead arrives with the information a partner needs to price the work.
Round Robin Selection distributes new leads automatically so every eligible team member receives assignments fairly. Only the employees you select are included; everyone else is excluded. That keeps sales staff busy, stops leads sitting unowned and gives you a fair basis for comparing conversion.
Lead Capture Form lets you create website forms, such as a Contact us form, preview them, edit them and switch each one on or off. Leads from your website land in Remindoo with the right fields, ready to be assigned. Together these settings shorten the time from enquiry to first call, which is often what wins the client.

Round-robin assignment
Choose which employees share new leads fairly.

Why it matters: Leads are shared evenly and automatically, so none are missed and workloads stay balanced.
Lead capture forms
Create, preview, edit and switch website lead forms on or off.

- Lead Capture Form tab selected
- Create New button
- Forms such as Contact us - Website
- On/off toggle for each form
- Preview, edit and delete icons
Why it matters: Website enquiries flow straight into Remindoo, and you can switch forms on or off as campaigns change.

Frequently asked questions
Can I control what each employee sees?
Yes. Roles set permissions per module (e.g. create/import clients, delete clients, view fee and hour aggregates) and whether a user sees All clients and tasks or Allocated Only.
Can Remindoo connect to HMRC?
Yes. Add HMRC agent authorisation accounts (including XML) and Tax Liability Agents for VAT, PAYE, SATR and CT600.
Can I enforce MFA?
Yes. Make multi-factor authentication mandatory for all employees.
Can staff connect an AI assistant like Claude or ChatGPT?
Yes, through MCP Access, which an admin can switch off for the whole practice and review per employee.
Can I make a lead field compulsory?
Yes. Tick Compulsory Field on any custom lead field.
Who receives leads under round robin?
Only the employees you select for round-robin assignment; all other employees are excluded.
