Upload Files and Control Client Visibility
Drag and drop or browse PDFs, images, CSV, XLS and ZIP files. Switch on Visible to client and the client is notified.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Uploading client records should be quick, and sharing them should be deliberate. Remindoo's Upload Files window takes several files at once: drop them in or browse, and it supports PDF, images, CSV, XLS and ZIP. Selected files are listed with their size and type, and you can remove any one, or Remove all, before uploading.
The Visible to client toggle controls sharing. Switch it on and, as the window notes, a notification is sent to the client when the document is uploaded. Leave it off and the file stays internal — useful for working papers or drafts that are not ready for the client. This simple control supports good data protection practice under UK GDPR: share what the client needs, when it is ready, and nothing more.
Once uploaded, files appear in list or grid view. In grid view each card shows the file name, date, size, modified date and creator, and shared items carry a visibility icon. Folders and files sit side by side, so a visible Client Uploads folder appears next to the documents in the service folder. Staff can see what has been shared without opening anything.
Upload many files at once
Drag and drop or browse PDFs, images, CSV, XLS and ZIP files. Switch on Visible to client and the client is notified.
What you can see
- Upload Files dialog with Drop files here or browse.
- Supported types: PDF, Images, CSV, XLS, ZIP.
- Selected files list with size and type, plus Remove all.
- Visible to client toggle.
- Note that a notification will be sent to the client on upload.
- Cancel and Upload buttons.
Why it matters: Several files are filed and shared in one step, and the client knows when they arrive.
See what's shared
In grid view, shared files carry a visibility icon.
What you can see
- Grid view selected with the view toggle.
- Cards showing file name, date, Size and Modified.
- Created by with the creator's initials.
- Eye icon on the file shared with the client.
- Actions menu on each card.
Why it matters: Shared and internal files are easy to tell apart at a glance.
Files and folders together
Files and sub-folders sit side by side with size, dates and creator.
What you can see
- Two PDF cards and a Client Uploads folder card side by side.
- Visibility icon on the shared file and the shared folder.
- Modified date and Created by on each card.
- New Folder and Upload Files above the grid.
Why it matters: Files and sub-folders sit together, so the service folder reads as one complete pack.
Frequently asked questions
Does Remindoo create client folders automatically?
Yes. Each client has a folder, and each service (for example Accounts - Year End + CT600) has its own sub-folder.
Can I choose what the client sees?
Yes. Folders and files can be marked visible to the client or hidden, and a Visible badge shows what is shared.
Can clients e-sign documents?
Yes. Choose recipients, drag signature and date fields onto the PDF, link it to a task and send the invite.
How much storage is included?
The storage bar shows usage against your allowance (for example 0.2 GB of 3 GB).
Is the client told when I upload a document?
Yes, when Visible to client is switched on, a notification is sent to the client on upload.
Can I upload files without sharing them?
Yes. Leave Visible to client off and the files stay internal.

Why a single client record matters
When client details, deadlines, documents and conversations are spread across inboxes and spreadsheets, time goes on searching instead of on client work.
One version of the truth
Everyone sees the same services, contacts, deadlines and notes for each client.
Accurate deadlines
Companies House sync brings in company details and filing dates, reducing manual errors.
Better client service
A full timeline means anyone can answer a client question with the history in front of them.
Secure document sharing
A client portal is safer than sending financial documents as email attachments.
Practical tips from UK practice
- Import companies from Companies House rather than typing details by hand.
- Record every service a client takes, so recurring work is created automatically.
- Add a short note after every important client call.
- Ask clients to upload documents through the portal rather than by email.
