Clients
Previous Accountant, Client Source and Related Clients
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
The final onboarding step records the information your practice needs but the client rarely sees. First is professional clearance. When you take over a client, professional ethics guidance expects you to contact the previous accountant before you act. Remindoo records the previous accountant's firm name, address, email and phone number, and the Send Letter of Clearance button starts that request from the client record. Next is client source. Record how you found the client, for example Existing Client, Facebook, Google or Website, with a relation field for referrals, so you can see which marketing channels bring in work. Related Clients links connected records, such as a limited company and its director's personal tax client. Search active and non-active clients, select them and save. On the client profile, Internal Information also holds the yearly fee excluding VAT and the payment type, such as DD - Go Cardless, next to the client source and previous accountant. If onboarding is interrupted, the client stays in Draft. The Complete your onboarding dialog shows which steps are complete and suggests the next one, or lets you start again with saved information pre-filled.
Professional clearance
Record the previous accountant's firm, address, email and phone, and click Send Letter of Clearance. Tell Remindoo how you found the client (Existing Client, Facebook, Google, Website).
What you can see
- Internal Information: "Share Your Client's Path".
- Previous Accountant toggle with Name of the Firm, Address, Email Address and Phone Number.
- Send Letter of Clearance button.
- Client Source with Type and Relation fields.
- Related Clients button, plus Back and Next.
Why it matters: Professional clearance starts from the client record instead of a separate letter template.
Link related clients
Connect a company to its director's personal tax client and other related entities.
Resume onboarding anytime
Draft clients can continue from the next incomplete step.
What you can see
- Complete your onboarding: "Pick where to continue for Daniel Hartley, or start from the beginning".
- Start from beginning (review all steps with saved information pre-filled).
- Steps marked Complete (Introduction, Contacts, Services, Risk Assessment & AML) or Incomplete (Basic Information, labelled "suggested next step", and Internal Information).
- Cancel and Continue onboarding buttons.
Why it matters: Partly onboarded clients are easy to finish, so nothing stays half set up.
Fee, payment type and source on the profile
Yearly fee excluding VAT, payment type (e.g. Direct Debit via GoCardless), client source and previous accountant.
What you can see
- Profile Internal Information section with Basic Fields, Additional Fields and Edit All.
- Yearly Fee Excluding VAT, Payment Type (DD - Go Cardless), Type of Client Source (Google) and Relation to Client Source.
- Previous Accountant block: Name of the Firm, Email, Address, Phone Number.
- View Related Clients link and Send Letter of Clearance button.
Why it matters: Fee, payment method and source are kept together for fee reviews and marketing reports.

Why a single client record matters
When client details, deadlines, documents and conversations are spread across inboxes and spreadsheets, time goes on searching instead of on client work.
One version of the truth
Everyone sees the same services, contacts, deadlines and notes for each client.
Accurate deadlines
Companies House sync brings in company details and filing dates, reducing manual errors.
Better client service
A full timeline means anyone can answer a client question with the history in front of them.
Secure document sharing
A client portal is safer than sending financial documents as email attachments.
Practical tips from UK practice
- Import companies from Companies House rather than typing details by hand.
- Record every service a client takes, so recurring work is created automatically.
- Add a short note after every important client call.
- Ask clients to upload documents through the portal rather than by email.
