How it works
E-signature is now standard for UK accountants, from engagement letters to client approval of year-end accounts. Remindoo builds it into the Documents Portal, so you can send any PDF for signature from the document actions menu. A three-step flow keeps it simple: Recipient Selection, Input Placement and Task Selection.
In step one, choose recipients from the client's contacts — for example Sophie Marsh at Kestrel Logistics Ltd — searching by client user name. If the right person is not listed, Create Client User Manually or add a Custom User. In step two, drag Signature and Date fields onto the page, move between pages if needed, and assign each field to a recipient. A counter confirms that every field is assigned before you Save Inputs & Proceed.
In step three, link the document to the client task it belongs to, such as Year-end accounts prep FY26 under Accounts - Year End + CT600, with its status shown. The same task can be reused for multiple document groups. Then Save Document or Send Invite. Linking signatures to the task means the signed approval sits with the job, which helps with review, filing and audit trail.

Why it matters: The right signatory is chosen from the client's own contacts, reducing errors.
Step 2: place fields
Drag Signature and Date fields onto the page and assign each one to a recipient.
What you can see
- Select your field type: Signature and Date.
- Fields placed on the PDF, tagged with the recipient's initials, with edit and delete icons.
- Assign Documents panel: 2 of 2 fields assigned.
- Recipients list showing 2 fields.
- Previous Page / Next Page navigation.
- Save Inputs & Proceed.
Why it matters: Fields go exactly where the client needs to sign and date, so returned documents are complete.
Step 3: link to the task and send
Choose the client task the document belongs to, then Save Document or Send Invite.
What you can see
- Task Selection with Search by Task Name.
- Service group Accounts - Year End + CT600.
- Task Year-end accounts prep FY26 with status In progress, selected.
- Note that the same task can be reused for multiple document groups.
- Save Document and Send Invite buttons.
Why it matters: The signature request is filed against the job, so the signed approval is easy to find later.
Frequently asked questions
Does Remindoo create client folders automatically?
Yes. Each client has a folder, and each service (for example Accounts - Year End + CT600) has its own sub-folder.
Can I choose what the client sees?
Yes. Folders and files can be marked visible to the client or hidden, and a Visible badge shows what is shared.
Can clients e-sign documents?
Yes. Choose recipients, drag signature and date fields onto the PDF, link it to a task and send the invite.
How much storage is included?
The storage bar shows usage against your allowance (for example 0.2 GB of 3 GB).
Can I send an engagement letter for e-signature?
Yes. Any PDF in the portal can be sent for e-signature: choose recipients, place Signature and Date fields, link it to a task and send the invite.
What if the signatory is not a saved contact?
Use Create Client User Manually or Custom User in the recipient step.
