Documents Portal
Share Documents with Clients by Email
Email Client opens a ready-made message with a View Documents button; recipients get access to the shared document.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Sending documents as email attachments creates copies in inboxes you do not control. Remindoo's Email Client action takes a different approach: it opens a ready-made message, titled Share Document with the client's name, containing a View Documents button. Recipients get an email notification with access to the shared document rather than a loose attachment.
The message is fully editable. Recipients are pre-filled from the client, the subject reads "Documents shared with you", and the body greets the client and asks them to review the documents. You can change the wording with the full editor, attach files if needed, then click Share.
For UK practices, sharing by link rather than attachment is a sensible part of GDPR-conscious working, because the document stays in your portal. It also gives clients a consistent experience: the same clear message and button every time, whether you are sharing draft accounts, a tax computation or a set of year-end papers.

Frequently asked questions
Does Remindoo create client folders automatically?
Yes. Each client has a folder, and each service (for example Accounts - Year End + CT600) has its own sub-folder.
Can I choose what the client sees?
Yes. Folders and files can be marked visible to the client or hidden, and a Visible badge shows what is shared.
Can clients e-sign documents?
Yes. Choose recipients, drag signature and date fields onto the PDF, link it to a task and send the invite.
How much storage is included?
The storage bar shows usage against your allowance (for example 0.2 GB of 3 GB).
Do clients receive the document as an attachment?
The shared email contains a View Documents button, and recipients receive a notification with access to the shared document.
Can I edit the share email?
Yes. The recipients, subject and body can all be edited before you click Share.

Why a single client record matters
When client details, deadlines, documents and conversations are spread across inboxes and spreadsheets, time goes on searching instead of on client work.
One version of the truth
Everyone sees the same services, contacts, deadlines and notes for each client.
Accurate deadlines
Companies House sync brings in company details and filing dates, reducing manual errors.
Better client service
A full timeline means anyone can answer a client question with the history in front of them.
Secure document sharing
A client portal is safer than sending financial documents as email attachments.
Practical tips from UK practice
- Import companies from Companies House rather than typing details by hand.
- Record every service a client takes, so recurring work is created automatically.
- Add a short note after every important client call.
- Ask clients to upload documents through the portal rather than by email.
