Documents Portal
The Client Portal
Invite contacts to the portal, create users manually and control which linked clients each user can access.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
A client portal is only secure if the right people have access. In Remindoo, portal access is managed from the client record. Open a client and the Client Portal Management section lists portal users, with name, email address, linked clients, status and actions. You can search users, invite them, or Create Client User Manually.
The Linked Clients column shows how many clients each user has been granted access to, and a View button opens that list. This matters for accountants whose contacts are directors of several companies: access can be controlled so each person sees only the clients they should. The Status column shows whether a user has been invited, for example Not Invited, and the green action sends the invite.
The E-Signature section of the same record shows Client Portal Documents — the documents shared with that client for signature — with an Upload Document button to add one. When no documents have been shared yet, the section shows "No documents found". Alongside sections such as Contacts, Services, Risk Assessment & AML and Client timeline, the portal sits inside the client record rather than in a separate system.

Frequently asked questions
Does Remindoo create client folders automatically?
Yes. Each client has a folder, and each service (for example Accounts - Year End + CT600) has its own sub-folder.
Can I choose what the client sees?
Yes. Folders and files can be marked visible to the client or hidden, and a Visible badge shows what is shared.
Can clients e-sign documents?
Yes. Choose recipients, drag signature and date fields onto the PDF, link it to a task and send the invite.
How much storage is included?
The storage bar shows usage against your allowance (for example 0.2 GB of 3 GB).
Can one portal user access more than one client?
Yes. The Linked Clients column shows which clients each user has been granted access to.
How do I invite a contact to the client portal?
In Client Portal Management, use the invite action next to the user, or create a client user manually.

Why a single client record matters
When client details, deadlines, documents and conversations are spread across inboxes and spreadsheets, time goes on searching instead of on client work.
One version of the truth
Everyone sees the same services, contacts, deadlines and notes for each client.
Accurate deadlines
Companies House sync brings in company details and filing dates, reducing manual errors.
Better client service
A full timeline means anyone can answer a client question with the history in front of them.
Secure document sharing
A client portal is safer than sending financial documents as email attachments.
Practical tips from UK practice
- Import companies from Companies House rather than typing details by hand.
- Record every service a client takes, so recurring work is created automatically.
- Add a short note after every important client call.
- Ask clients to upload documents through the portal rather than by email.
