Emails
The Shared Inbox
One inbox with folders, categories, search, sync and a reading pane showing the linked client, task and assignees.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
A shared inbox for accountants needs to do more than list messages. It has to show which client an email belongs to, how urgent it is and whether anyone has picked it up. Remindoo's inbox splits mail into folders — Inbox, Unread, Starred, Archived, Complete, Sent and Spam — and into categories: All, Primary, Promotions, Social and Updates. Client correspondence stays in Primary, while newsletters and marketing mail sit in Promotions with their own count, so the team is not wading through noise to find a client's question about their self assessment or year-end accounts.
Every email card carries a priority badge, a star, the linked client (or Unknown until one is linked) and a Comment link. The Synced at time and refresh button show how current the inbox is. Selecting an email opens the reading pane, where you can add labels, assign colleagues, link the email to a client or task, or create a lead, all without leaving the page.
The Complete folder matters for practice workflow: once a query is dealt with, the email can be closed out rather than left sitting in the inbox. For practice owners, that means a working inbox that reflects work outstanding, not every email ever received.
Inbox, folders and reading pane
Search, switch mailbox and compose at the top; Inbox, Unread, Starred, Archived, Complete, Sent and Spam folders; All, Primary, Promotions, Social and Updates categories; last sync time and a refresh button. Each email card shows priority, star, the client it belongs to and a Comment link.
Categories keep the noise out
Promotions and other categories sit in their own tabs so client work stays in Primary.
What you can see
- Promotions tab selected, showing its own count (8).
- Promotional emails listed separately from Primary.
- Same card layout: priority badge, star, time and Comment link.
- Reply box with CC, BCC, Ai Suggestion, Reply and Reply All still available.
Why it matters: Marketing mail is kept out of the client work queue, so client requests are easier to spot and answer.

Why consistent client communication matters
Much of an accountant's week goes on chasing records and answering the same questions. Standard messages and timely reminders cut that chasing down.
Records arrive sooner
Reminders sent well before a deadline give clients time to send what you need.
Professional and consistent
Templates keep tone, content and deadlines accurate, whoever sends the email.
Less manual work
Tokens merge client details into messages, so one template works for every client.
A clear audit trail
Sent messages recorded on the client timeline show what was asked for and when.
Practical tips from UK practice
- Send the first records request at least six weeks before the internal deadline.
- Keep reminder emails short, with one clear action and a date.
- Review templates each tax year so dates and rules stay current.
- Use bulk emails for practice-wide updates such as new rules or office closures.
