Emails
Triage Every Email: Priority, Labels and Assignees
Priority, a label such as Year End, an assignee, plus the linked task and client — all visible at the top of the email and on the card.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Email triage is how a practice decides what gets done first and by whom. In Remindoo, every email starts with a priority of Not set. Click the badge to choose Critical, High, Medium or Low, so a letter from HMRC or an urgent payroll query can be flagged above routine correspondence. Labels add a second layer: tag emails with categories such as Year End so related work can be grouped and found quickly.
Assignees close the loop on ownership. Add one or more colleagues to an email and their avatar appears on the email card in the list, not just inside the message. Combined with the linked task and linked client chips at the top of the email, a fully triaged message tells anyone in the team what it is about, how urgent it is, who owns it and which job it belongs to.
For practice managers, this replaces the "has anyone replied to this?" conversation. You can scan the inbox and see priority badges and owners at a glance, which helps keep response times consistent during busy periods such as the January self assessment deadline and year-end season.

Why consistent client communication matters
Much of an accountant's week goes on chasing records and answering the same questions. Standard messages and timely reminders cut that chasing down.
Records arrive sooner
Reminders sent well before a deadline give clients time to send what you need.
Professional and consistent
Templates keep tone, content and deadlines accurate, whoever sends the email.
Less manual work
Tokens merge client details into messages, so one template works for every client.
A clear audit trail
Sent messages recorded on the client timeline show what was asked for and when.
Practical tips from UK practice
- Send the first records request at least six weeks before the internal deadline.
- Keep reminder emails short, with one clear action and a date.
- Review templates each tax year so dates and rules stay current.
- Use bulk emails for practice-wide updates such as new rules or office closures.
