Link Emails to Clients, Tasks and Leads
File emails against the right client and task, or turn an enquiry into a lead with one click.

How it works
An email only becomes useful practice information when it is attached to the right client and the right job. Remindoo gives you three actions at the top of every email: Link Client, Link Task and Create Lead. Link Client opens a search box; type a few letters, such as "Kestrel", pick Kestrel Logistics Ltd and click Assign. The client name then replaces Unknown on the email card and appears as a chip in the reading pane, with a cross to remove it if needed.
Link Task lists that client's tasks, for example Year-end accounts prep FY26, so the email sits against the job it relates to. If there is no suitable task, Create New Task starts one straight from the email. This is how a request for missing bank statements ends up on the year-end job rather than buried in someone's inbox.
For new enquiries, Create Lead opens the full lead form with the sender's email already added and the subject placed in Notes. You can also use Import from Companies House to fill company details. Linking emails this way builds a reliable client communication record, helps with audit trail and makes handovers between team members straightforward.
Link Client
Search your clients and assign the email; the client name then shows on the email card and in the reading pane.

Why it matters: Filing an email to the client takes seconds, so the client record holds the full conversation.
Link Task
Pick one of the client's tasks, or Create New Task from the email.

Why it matters: The email sits on the job it belongs to, so whoever works the task sees the client's message.
Create Lead
New enquiry? Create a lead with the sender's email and the subject as notes, or import the company from Companies House.
What you can see
- Create Lead form with steps Basic Information, Contacts, Information & Attachments.
- Import from Companies House button.
- Lead Name, Area Code (United Kingdom | +44), Mobile no. and Lead Email fields.
- Sender's email pre-added as Email #1.
- Notes pre-filled with the email subject.
- Type of Business, Turnover, Payroll & PAYE and Services Needed fields.
Why it matters: New enquiries go straight into the sales pipeline without retyping, so fewer prospects slip through.
Frequently asked questions
Can I connect Gmail and Outlook?
Yes. Connect a Gmail or Outlook account, a company mailbox and team members' mailboxes, then switch between them or view All Accounts.
Can I link an email to a client?
Yes. Use Link Client to attach any email to a client record; Link Task attaches it to one of that client's tasks.
Can I turn an email into a lead?
Yes. Create Lead opens the lead form with the sender's email and the subject already filled in.
Does Remindoo help write replies?
Yes. AI Suggestion drafts a reply or a new email that you can edit before sending.
Can I create a task from an email if one does not exist?
Yes. In the Link Task dialog, use Create New Task to start one from the email.
