Proposals
Proposal Automation and Follow-up
Most proposals are lost to silence, not to price. Remindoo's proposal automation rules make sure every sent proposal gets followed up and every signed one moves to onboarding.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Many proposals are lost to silence rather than price. A client means to sign, gets busy and forgets. Remindoo's proposal automation makes sure every proposal is followed up. On the Automations Rules page, the Proposals tab lists rules as rows. Each row sets a proposal status or condition, a wait in hours or days, an action (Send Email or Change Status), an email template or new status, and who it is sent or assigned to. The sample rules show the pattern. A Declined proposal changes to Archived after a day. A Sent proposal gets a "Thank you for choosing ::Tenant Name::" email a day later. A Signed proposal triggers an "Information Request" email to start onboarding. A banner sets the logic: a rule runs when a proposal enters a status, once per entry, and only if it is still there when the wait ends. A chaser never reaches a client who has already signed. Build visually creates a rule on a canvas, for example: when a proposal becomes Sent, wait 3 days, send an email. Rules can be active or paused, which suits seasonal campaigns.
Rules that run when a proposal changes status
Each rule runs when a proposal enters a status. After a wait in hours or days, Remindoo can send an email template to the people you choose or change the status. Examples: archive declined proposals after a day, send a follow-up email a day after a proposal is sent, and send an information request once it is signed. Rules can be active or paused.
What you can see
- Module tabs: Leads 5, Proposals 3, Tasks 5, Clients 0, Services 0.
- Columns: Proposal status / condition, After, Then do / action, Template / details, Send / assign to.
- Declined → 1 day → Change Status → Archived.
- Sent → 1 day → Send Email. Signed → 1 day → Send Email (Information Request).
- Add Rule, Build visually, and "3 total rules, 0 active, 3 paused".
Why it matters: Follow-up and onboarding happen on time, every time.
Build a chaser visually
Use Build visually to connect a trigger, a wait and an action on a canvas, for example: when a proposal becomes Sent, wait three days, then send an email. Choose recipients such as the proposal's assignees, switch the rule on and save.
What you can see
- Build an automation canvas with the Proposals tab selected.
- Flow: When a proposal becomes Sent → Wait 3 days → Send email → END.
- Send email panel with a chosen template and "Who receives it".
- Note that the template is read at send time, so edits fix waiting sends.
- "1 rule ready", Active on save, Add to grid and Save 1 automation.
Why it matters: A proposal chaser is set up visually in minutes.

Can I pause a rule?
Yes. Rules can be active or paused.
Can automation archive declined proposals?
Yes. Use Change Status to Archived after a wait you set.
Can a signed proposal trigger an onboarding email?

Why tracking leads and proposals matters
Every enquiry a practice fails to follow up is lost fee income. A clear pipeline shows which prospects need a reply, a proposal or a follow-up.
Faster replies
Prospects often contact more than one firm, so the firm that replies first and clearly has an advantage.
Consistent proposals
Templates and a services catalogue keep scope and pricing consistent whoever writes the proposal.
Signed terms from day one
E-signed engagement letters confirm scope and responsibilities before work begins.
No re-keying
Converting a won lead into a client keeps the details you already collected.
Practical tips from UK practice
- Reply to every new enquiry within one working day.
- Use lead statuses that match your real sales stages, and review them weekly.
- Send the engagement letter with the proposal so the client signs once.
- Record why lost leads were lost, to improve pricing and messaging.
