Quick answer

A client document request checklist lists exactly what you need for each service, in language clients understand, so records arrive complete first time. Remindoo turns each list into a request with attachments collected through the client portal, plus automatic reminders until everything has arrived.

Why do records arrive incomplete?

Usually because the request used accountancy language, listed too much at once, or had no deadline and no follow-up.

Clients respond to short, specific, plainly worded lists with a date on them. "Bank statements for the year to 31 March, all accounts including savings" gets a result. "Please provide supporting documentation" does not.

How do you chase without annoying people?

Chase only what is missing, on a schedule, and always show the client what you already have.

The best chaser lists three outstanding items rather than repeating the original twenty. Firms using a portal get this free, because the outstanding list is visible to both sides.

This is a standard checklist. Each firm's requirements may vary, so please cross-check everything against current GOV.UK, Companies House and professional body guidance before relying on it.

Turn this into a task and subtask template in Remindoo

Save each group as a task with subtasks, attach it to the right service and let recurring tasks create it for every client, every period. Each item gets an owner and a deadline, and nothing depends on someone remembering to print the list. See task and subtask templates.

What are the common mistakes?

  • One long request instead of a service-specific list
  • Accountancy language the client cannot act on
  • No deadline on the request
  • Chasing everything again rather than what is missing
  • Collecting sensitive documents by email
“Automation saves time and no follow-up is missed.”

Frequently asked questions

How many chasers should we send?

Most firms find a schedule of three works well: a reminder before the deadline, one after, then a call.

Should clients email documents?

A secure portal is safer for identification documents and bank statements, and keeps everything on the client record.

Can requests be personalised automatically?

Yes. Email templates with client tokens fill in names, services and deadlines without retyping.

How do I see which clients are outstanding?

Filter the task view by stage, so every client still waiting on records appears in one list.

What if a client never responds?

Escalate to a call, record the attempts on the client file, and consider whether the relationship is workable.

Does Remindoo store the documents?

Yes. Documents collected through the portal sit on the client record with the rest of their history.

Why a single client record matters

When client details, deadlines, documents and conversations are spread across inboxes and spreadsheets, time goes on searching instead of on client work.

One version of the truth

Everyone sees the same services, contacts, deadlines and notes for each client.

Accurate deadlines

Companies House sync brings in company details and filing dates, reducing manual errors.

Better client service

A full timeline means anyone can answer a client question with the history in front of them.

Secure document sharing

A client portal is safer than sending financial documents as email attachments.

Practical tips from UK practice

  • Import companies from Companies House rather than typing details by hand.
  • Record every service a client takes, so recurring work is created automatically.
  • Add a short note after every important client call.
  • Ask clients to upload documents through the portal rather than by email.
