Quick answer
A year-end accounts records request checklist sets out every document needed to prepare statutory accounts, grouped by where the client keeps it. Sending the full list with a records deadline, then chasing only what is missing, is what gets year ends finished early. Remindoo automates the request and the follow-ups.
How should the request be grouped?
By where the client keeps the paperwork — bank, sales, purchases, staff, assets, loans — not by how the accounts are structured.
Clients do not hold records by nominal code. They hold them by bank, by supplier folder, by the drawer with the finance agreements in it. A list that matches how they store things gets answered; a list that matches your working papers does not.
When should the request go out?
Within days of the year end, with a records deadline well ahead of your internal accounts deadline.
The single biggest lever on year-end turnaround is how quickly the request goes out. Automating it from the year-end date removes the delay entirely, because nobody has to remember.

Turn this into a task and subtask template in Remindoo
Save each group as a task with subtasks, attach it to the right service and let recurring tasks create it for every client, every period. Each item gets an owner and a deadline, and nothing depends on someone remembering to print the list. See task and subtask templates.

See featureWhat are the common mistakes?
- Sending the request weeks after the year end
- Listing items by nominal code
- No records deadline
- Not asking about post year-end events
- Chasing the whole list again each time
“Managing deadlines and tasks is much easier.”
Frequently asked questions
When should the records request be sent?
As close to the year end as possible, ideally triggered automatically from the year-end date.
What records deadline should we give?
One that sits comfortably ahead of your internal accounts deadline, with chasers scheduled in between.
Can the list be tailored per client?
Yes. Start from the standard list and remove the groups that do not apply, so nothing relevant is dropped by accident.
Should clients upload or email documents?
Uploading to the portal keeps everything on the client record and is safer for bank statements and identification.
How do we handle the client who sends everything at once, unsorted?
Accept it, but log which groups are missing so the chaser is specific rather than a general plea.
Does Remindoo prepare the accounts?
No. Remindoo runs the request, chasing, deadlines and review stages; preparation stays in your accounts software.

Why recording every task matters in an accountancy practice
Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.
Avoid penalties
HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.
Nothing depends on memory
Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.
Consistent quality
Subtask checklists make every job follow the same steps and reviews, whoever does the work.
Visibility for managers
Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.
Practical tips from UK practice
- Set an internal deadline two to four weeks before every statutory deadline.
- Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
- Break larger jobs into subtasks, including a review step.
- Comment on the task instead of by email, so the history stays with the work.
