Proposals
Your Services Catalogue and Pricing Rules
Proposal Settings is where you define what you sell and how it is priced. Set it up once and every proposal follows your pricing.
Built for UK accountants, bookkeepers and growing accountancy practices.
In practice
How it works
Consistent proposals depend on a well-built services catalogue, and Proposal Settings is where you set it up. Five tabs cover it: Categories, Variables, Ranges, Products and Packages. Categories group services by client type. The list includes Registered Overseas Entity, Royal Charter, Northern Ireland and ICVC Umbrella, each showing how many products and packages it holds. Products is the catalogue itself. Each service, such as bookkeeping, payroll, confirmation statement, sole trader SATR or LLP year-end accounts, shows its status, billing frequency (monthly, weekly, fortnightly or yearly) and categories, with duplicate, edit and delete buttons. Editing a product links it to a service, such as Accounts - Year End + CT600. You choose its categories, can mark it optional for the client, and set a pricing type such as Based on Range. Each turnover bracket then takes a fixed amount or a multiplier, and the computed and yearly prices are shown. Ranges hold reusable turnover brackets. Variables adjust the price by operator and factor, for example charging more for spreadsheets or paper records than for cloud software. Packages build tiered offers with a yearly-payment discount.
Categories for every client type
Group services and packages by client type, such as private limited companies, LLPs, Self Assessment and overseas entities, and see how many products and packages each category has.
What you can see
- Proposal Settings tabs: Categories, Variables, Ranges, Products, Packages.
- Columns: Name, Description, Products, Packages.
- Categories such as D-SATR, Registered Overseas Entity, Royal Charter, Northern Ireland, ICVC Umbrella.
- Product and package counts with + buttons, plus edit and delete.
- Create Categories and "Showing 15 of 34 categories".
Why it matters: Every client type gets the right list of services.
One catalogue of services
Each service shows its status, billing frequency (monthly, weekly, fortnightly or yearly) and categories. Duplicate, edit or delete services as your offer changes.
What you can see
- Products tab with columns Product Name, Status, Frequency, Category.
- Services such as Payroll - Weekly/ Fortnightly/ Monthly, Confirmation Statement, LLP - Year End Accounts - Based on Turnover, Sole Trader - SATR - Based on turnover.
- Frequency tags: Monthly, Weekly, Fortnightly, Yearly.
- Duplicate, edit and delete icons, plus Create Product.
Why it matters: One catalogue keeps every quote consistent.
Pricing rules for each service
Link a product to a service, choose its categories and billing frequency, and mark it optional for the client. Set the pricing type, such as Based on Range, then use a fixed price or multiplier for each bracket and see the computed price.
What you can see
- Edit Product Template: Product Name, Status (Active), Service (Accounts - Year End + CT600).
- Choose Categories (Private Limited Company) and "Mark this product optional for the client".
- Frequency: Yearly. Pricing Type: Based on Range. Range: Turnover - LIMITED COMPANY.
- Bracket table: Fixed price / Multiplier toggle, Amount (£), Multiplier (x), Computed Price (£), Yearly Price (£).
- Attach Variables section.
Why it matters: Pricing rules are set once and applied the same way every time.
Turnover ranges
Define the turnover brackets your fees are based on and reuse them across services.
What you can see
- Edit Range, Name: Turnover - LIMITED COMPANY.
- Add Bracket button.
- Bracket labels from £0 to £20,000 upwards.
- + between brackets, delete icons, and Close / Update.
Why it matters: One set of turnover bands is shared by several services.
Pricing variables
Create variables with options that adjust the base price using an operator and a factor, for example charging more when records arrive as paper rather than cloud software. Link variables to the services they apply to.
What you can see
- Create Variable: How Records Are Provided.
- Linked Services: Accounts - Year End + CT600, Personal Tax Return.
- Options: Cloud software (Xero / QuickBooks) x 1.0, Spreadsheets x 1.15, Paper records & receipts x 1.4.
- Add a new option field and Save.
Why it matters: Fees reflect the real workload, not just turnover.
Build tiered packages
Create a group of packages with a name, billing frequency and categories. For each package set a standard monthly price, mark one as recommended, add a discount for paying yearly and an offer line, then tick the services each package includes.
What you can see
- Essential, Growth and Premium columns, with Add Package.
- Standard Monthly Price: 95, 175, 295.
- "Is This Package Recommended?" ticked for Growth.
- Add Discount % if Paid Yearly: 10, plus Offer Text.
- Feature rows ticked per package, plus Preview and Create.
Why it matters: Good-better-best packages are built from your own services.

Why tracking leads and proposals matters
Every enquiry a practice fails to follow up is lost fee income. A clear pipeline shows which prospects need a reply, a proposal or a follow-up.
Faster replies
Prospects often contact more than one firm, so the firm that replies first and clearly has an advantage.
Consistent proposals
Templates and a services catalogue keep scope and pricing consistent whoever writes the proposal.
Signed terms from day one
E-signed engagement letters confirm scope and responsibilities before work begins.
No re-keying
Converting a won lead into a client keeps the details you already collected.
Practical tips from UK practice
- Reply to every new enquiry within one working day.
- Use lead statuses that match your real sales stages, and review them weekly.
- Send the engagement letter with the proposal so the client signs once.
- Record why lost leads were lost, to improve pricing and messaging.
