Automated Lead Follow-Up for Accountants

Lead automation in Remindoo lets you set a rule on a lead status. When a lead enters that status, Remindoo can send a templated email, create a task or move the lead to another status, either straight away or after a delay you choose.

Built for UK accountants, bookkeepers and growing accountancy practices.

How a lead automation rule is built

Each rule has a condition, a timing and an action. You set it up once and it keeps running until you pause it.

Condition: choose the lead status the rule applies to

Timing: run immediately, or choose “After” and enter a delay in minutes, hours or days

Action: send an automated email, create a task or change the lead status

Emails use an existing email template and the recipients you select

Status changes use the destination status you select

How the automation behaves

Rules are designed to avoid duplicate or out-of-date follow-ups.

A rule applies to leads in the chosen status

A lead is acted on once each time it enters that status — the action does not keep repeating while it stays there

If the lead leaves and later returns to the status, the rule can run again

If a delayed action is waiting and the lead leaves the required status, the scheduled action is cancelled

The rule keeps operating until it is paused

Manage every rule from one screen

The automation list shows total, active and paused rule counts, so you can see what is running at a glance.

Activate or pause individual rules

Duplicate a rule to build a similar one quickly

Delete rules you no longer need

Why accountants use lead automation

The manual problem it replaces is remembering to acknowledge each enquiry, create a follow-up reminder and update the pipeline by hand. With rules in place, every new lead gets the same response and the next step is created for the right person. It connects with lead capture forms, round-robin assignment, email templates, tasks and custom lead statuses.

Example: from website enquiry to client

01

A website form creates a New Lead.

02

Round-robin assignment gives the lead to an eligible employee.

03

A templated acknowledgement email is sent.

04

A follow-up task is created.

05

The lead is moved through the pipeline based on the firm’s process.

06

The successful lead is converted into a client.

Frequently asked questions

Can Remindoo send an automatic follow-up email to a lead?

Yes. A rule can send an existing email template to selected recipients when a lead enters a chosen status, immediately or after a delay.

Can Remindoo create follow-up tasks automatically?

Yes. A rule can create a task when a lead enters the chosen status.

Can Remindoo change a lead’s status automatically?

Yes. Choose the destination status and the rule moves the lead when its condition and timing are met.

What happens if a lead changes status before a delayed automation runs?

The scheduled action is cancelled, so the lead does not receive an out-of-date follow-up.

Does a rule repeat while the lead stays in the same status?

No. A lead is acted on once each time it enters the status. If it leaves and returns, the rule can run again.

Why tracking leads and proposals matters

Every enquiry a practice fails to follow up is lost fee income. A clear pipeline shows which prospects need a reply, a proposal or a follow-up.

Faster replies

Prospects often contact more than one firm, so the firm that replies first and clearly has an advantage.

Consistent proposals

Templates and a services catalogue keep scope and pricing consistent whoever writes the proposal.

Signed terms from day one

E-signed engagement letters confirm scope and responsibilities before work begins.

No re-keying

Converting a won lead into a client keeps the details you already collected.

Practical tips from UK practice

  • Reply to every new enquiry within one working day.
  • Use lead statuses that match your real sales stages, and review them weekly.
  • Send the engagement letter with the proposal so the client signs once.
  • Record why lost leads were lost, to improve pricing and messaging.
