Quick answer

GDPR compliance is about knowing what data you hold, why you hold it, and keeping it secure. Maintain a data inventory, have clear privacy notices, implement robust IT security measures, and ensure your staff are trained to recognise and report data breaches immediately.

How do you maintain GDPR governance?

Governance starts with understanding your data flows—mapping where client data enters your firm, where it is stored, and who has access to it.

Appoint a person responsible for data protection, even if you are a sole practitioner. Keep a record of all data processing activities and ensure your privacy notices are transparent and easily accessible to all clients.

What technical security measures are required?

Use encryption for sensitive files, enforce strong passwords, apply role-based access, and ensure your software providers are reputable.

Physical security is just as important; lock filing cabinets, keep laptops secure, and ensure paper waste containing personal data is cross-cut shredded.

Frequently asked questions

Do I need to register with the ICO?

Most accounting firms processing personal data must register and pay the data protection fee to the ICO.

Can I use Dropbox for client files?

Only if configured correctly with encryption and appropriate access controls. Many practices prefer purpose-built accounting portals.

What is a data breach?

A breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data.

How long should I keep client data?

Keep it for as long as necessary for the purpose for which it was collected, and in line with your professional body’s retention guidelines.

What if a client asks to be forgotten?

Under GDPR, clients have the 'right to erasure', though this is limited by your legal obligations to retain records for tax and AML purposes.

Is staff training mandatory?

Yes, you must ensure your staff understand their responsibilities regarding the protection of personal data.

Why recording every task matters in an accountancy practice

Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.

Avoid penalties

HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.

Nothing depends on memory

Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.

Consistent quality

Subtask checklists make every job follow the same steps and reviews, whoever does the work.

Visibility for managers

Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.

Practical tips from UK practice

  • Set an internal deadline two to four weeks before every statutory deadline.
  • Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
  • Break larger jobs into subtasks, including a review step.
  • Comment on the task instead of by email, so the history stays with the work.
