Quick answer
A payroll implementation checklist makes sure a new payroll client is set up correctly before the first pay run: employer PAYE registration and references, agent authorisation, employee starter details, year-to-date figures from any previous provider, pension scheme and auto-enrolment duties, pay dates and approval process. Getting these right first avoids RTI errors and HMRC penalties.
What do you need before the first pay run?
The employer PAYE reference and Accounts Office reference, agent access, complete employee records, any year-to-date figures and the pension scheme details.
If the client is a new employer, it must register with HMRC before the first payday. If the payroll is moving from another provider mid-year, collect year-to-date pay, tax and National Insurance for every employee so the first Full Payment Submission is correct.
What about workplace pensions?
Confirm the duties start date, the pension scheme and whether the declaration of compliance has been completed with The Pensions Regulator.
Auto-enrolment duties begin when the first member of staff starts work. A new employer must complete the declaration of compliance within five months of its duties start date. Check the current guidance for each client.

Why recording every task matters in an accountancy practice
Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.
Avoid penalties
HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.
Nothing depends on memory
Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.
Consistent quality
Subtask checklists make every job follow the same steps and reviews, whoever does the work.
Visibility for managers
Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.
Practical tips from UK practice
- Set an internal deadline two to four weeks before every statutory deadline.
- Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
- Break larger jobs into subtasks, including a review step.
- Comment on the task instead of by email, so the history stays with the work.
