Quick answer

Payroll teams rely on GOV.UK for rates and thresholds, minimum wage rates, Basic PAYE Tools, payroll software lists, P11D reporting and statutory pay calculators. Workplace pension duties and declarations of compliance are handled through The Pensions Regulator.

Rates and tools

Rates change every April — update payroll software and client letters before the first pay run.

Keep all of this inside your practice management software

Store each client’s UTR, VAT number, PAYE reference, Accounts Office reference and Corporation Tax payment reference in custom fields on the client record. Create one payment instructions email template with tokens that fill in each client’s own reference, then send it to one client or in bulk before each deadline. Set automated reminders and recurring tasks for every payment date, and pull filing deadlines with Companies House sync. Remindoo doesn’t submit filings, take payments or connect to HMRC — it keeps the references and the reminders in one place.

Frequently asked questions

When are P11Ds due?

P11D and P11D(b) forms are due by 6 July after the end of the tax year. Class 1A National Insurance is then payable by 22 July electronically. Send clients a benefits information request well before.

Where do I find this year’s PAYE rates and thresholds?

HMRC publishes a Rates and thresholds for employers page for each tax year on GOV.UK. Check it before the first pay run in April.

How do I pay PAYE and CIS to HMRC?

Pay to HMRC Cumbernauld (08 32 10, 12001039) using the 13-character Accounts Office reference, by the 22nd of the next tax month electronically. See our PAYE and CIS payment page for full details and warnings.

Do small employers need payroll software?

Employers must report payroll to HMRC in real time. HMRC’s free Basic PAYE Tools suits employers with fewer than 10 employees; others use commercial software from the GOV.UK payroll software list.

What is a declaration of compliance?

It is the confirmation an employer gives The Pensions Regulator about how it has met its automatic enrolment duties, including after each re-enrolment. The Regulator’s website explains deadlines.

How can a payroll bureau keep on top of every client’s deadlines?

Create recurring payroll services with task templates for each pay frequency, set internal deadlines before RTI submissions and use reminders to request changes from clients. Remindoo supports this with recurring tasks, reminders and email templates.

Why recording every task matters in an accountancy practice

Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.

Avoid penalties

HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.

Nothing depends on memory

Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.

Consistent quality

Subtask checklists make every job follow the same steps and reviews, whoever does the work.

Visibility for managers

Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.

Practical tips from UK practice

  • Set an internal deadline two to four weeks before every statutory deadline.
  • Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
  • Break larger jobs into subtasks, including a review step.
  • Comment on the task instead of by email, so the history stays with the work.
