Security and data protection at Remindoo

You hold other people's financial data, so you need to know what happens to it. This page sets out the controls inside Remindoo, what you control, and how to get the written detail your own supplier due diligence needs.

Controls built into Remindoo

Encrypted connections

Remindoo is served over HTTPS, so data in transit between your browser and the platform is encrypted.

Named user accounts

Every person in your practice logs in as themselves, so activity belongs to a person rather than a shared login. Unlimited users means nobody has to share credentials to save licence cost.

Roles and permissions

Decide what each role can see and do across clients, tasks, documents and settings.

Advanced employee roles

Larger teams can apply more granular permissions per person, so juniors, reviewers and managers each see what they need.

Client portal access

Clients only ever see their own requests, tasks and documents through the portal — never another client's record.

AML and ID check records

Identity and AML check results are stored against the client record so evidence stays with the client it belongs to.

What your practice controls

  • Keep your own staff list current — remove leavers from your practice account promptly.
  • Give each role the minimum access it needs, and review permissions when people change job.
  • Use strong, unique passwords and keep your own devices patched.
  • Record Remindoo in your practice's data protection documentation, including your record of processing activities.
  • Keep your own retention decisions: your AML and client records have retention periods set by your supervisor, not by us.

Security questions we are asked

Is Remindoo UK GDPR compliant?

Remindoo acts as a data processor for the client data you hold in the system, and as a controller for your own account data. Our Privacy, Data Processing and Cookie Policy sets out the lawful bases, retention periods and your rights, and forms the data processing terms of your agreement with us.

Who can see my clients' data?

Only the users you invite to your practice account, within the limits of the role you give them. Remindoo staff access practice data only where needed to provide or support the service.

Can I control what each member of staff sees?

Yes. Roles and permissions let you decide what each user can view and do, and advanced employee roles allow more granular control for larger teams.

Can I export my data if we leave?

Yes. You can export your practice data, and our terms provide for export on request after termination. Keep your AML records when you leave any system, because your supervisor can ask to see customer due diligence for past clients.

Do you use sub-processors?

Yes, for hosting, email delivery and similar service functions. We notify customers of changes to providers in line with our data processing terms. Contact us if you need current details for your own records.

Can you complete our security questionnaire or sign a DPA?

Yes. Contact us with your questionnaire, DPA or supplier due diligence form and we will complete it for your practice.

Where is our data stored?

Contact us for current hosting and data location details for your account. We provide this in writing so you can record it in your own supplier due diligence file.

Need certifications, hosting locations, penetration test summaries or a signed data processing agreement for your files? Contact us and we will send the current written detail rather than a general statement.

Why recording every task matters in an accountancy practice

Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.

  • Set an internal deadline two to four weeks before every statutory deadline.
  • Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
  • Break larger jobs into subtasks, including a review step.
  • Comment on the task instead of by email, so the history stays with the work.
