Task management
Quick and Detailed Task Creation for Accountants
Some work needs capturing before it's forgotten; other work needs to be set up properly from the start. Remindoo lets your team do both, create a quick task with the essentials, or a detailed task with the client, service, owner, deadlines and priority already in place.
Built for UK accountants, bookkeepers and growing accountancy practices.
How to do it in Remindoo
- Open Create Quick Task.
- Review task name, priority, estimated time, deadlines and assignees.
- Switch to Detailed Task for client-service work.
- Choose the client and service and review its subtasks.
Everything on one screen
Pick or type a task name, set status and priority, estimate hours and minutes, mark it billable, set internal and external deadlines and choose assignees. Switch to Detailed Task when the job belongs to a client service.
Client, service and subtasks
Choose the client and service (here Accounts - Year End + CT600). Remindoo fills in the estimated time (8 hours) and lists the service's subtasks: Phase 1 Chasing Information, Phase 2 Assess Info Received, Phase 3 Accounts Preparation, Phase 4 Internal Review & QA, Phase 5 Client Review and Before & After Completing Accounts.
Quick task creation
Use quick creation when a client rings with a question or a colleague asks for help. Add a name and the key details, save it, and come back to fill in the rest.
- Capture work in a few seconds
- Keep the task visible so nothing is lost
- Add more detail later from the task itself
Detailed task creation
Use the detailed form when the work is already understood, so the task is ready to be picked up straight away.
- Link the task to a client and service
- Assign one or more team members
- Set internal and external deadlines
- Choose a priority and add tags
- Add a description and mark the task as billable where relevant
Create tasks from where the work starts
Tasks can also be created from a client record, from an email, or generated by a service template, so information doesn't need to be retyped.
Example: a VAT query from a client
- A client emails about a late purchase invoice for their VAT return.
- A bookkeeper creates a quick task, linked to the client, while the email is open.
- The manager adds the VAT service, an internal deadline and the assignee later that day.
Illustrative example, adapt it to your own practice's process.

Why recording every task matters in an accountancy practice
Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.
Avoid penalties
HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.
Nothing depends on memory
Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.
Consistent quality
Subtask checklists make every job follow the same steps and reviews, whoever does the work.
Visibility for managers
Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.
Practical tips from UK practice
- Set an internal deadline two to four weeks before every statutory deadline.
- Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
- Break larger jobs into subtasks, including a review step.
- Comment on the task instead of by email, so the history stays with the work.
