Task management
Internal and External Deadlines for Accountancy Tasks
The date the work must be finished and the date your team aims to finish it shouldn't be the same. Remindoo keeps an internal deadline and an external deadline on each task, so you build in time for review.
Built for UK accountants, bookkeepers and growing accountancy practices.
Two dates on every task
- Internal deadline: when your team aims to finish
- External deadline: the client-facing or final date
- Both visible on the task and usable in filters
Set by service templates
Service templates can calculate both dates from a client's trigger date, such as accounting period end, so every client gets a consistent buffer.
Earlier warning
Working to the internal date gives managers time to spot slipping work before the external date is at risk.
Example: Confirmation Statement
- External deadline: the Confirmation Statement due date from Companies House data.
- Internal deadline: two weeks earlier.
- Reminders go to the client before the internal date so there's time for changes.
Illustrative example, adapt it to your own practice's process.
Frequently asked questions
Are external deadlines the same as HMRC deadlines?
Not necessarily. The external deadline is the date you set as final for the task. Check statutory dates yourself for each client.
Can I filter by deadline?
Yes. Deadlines are available in task filters.

Why recording every task matters in an accountancy practice
Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.
Avoid penalties
HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.
Nothing depends on memory
Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.
Consistent quality
Subtask checklists make every job follow the same steps and reviews, whoever does the work.
Visibility for managers
Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.
Practical tips from UK practice
- Set an internal deadline two to four weeks before every statutory deadline.
- Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
- Break larger jobs into subtasks, including a review step.
- Comment on the task instead of by email, so the history stays with the work.
