Task management

Workflow Stages and Job Phases for Accounting Work

Every practice has its own idea of how a job moves from records received to signed off. In Remindoo, task statuses show where each job is, checklist stages separate preparation from review, and workflow automation can act when a task moves on.

Built for UK accountants, bookkeepers and growing accountancy practices.

Task statuses show the phase

Each task carries a status, so managers can see at a glance which jobs are in progress, waiting or complete, and dashboards count tasks by status.

Prepared, Reviewed and Approved

Checklists can move through Prepared, Reviewed and Approved stages, giving a clear preparer–reviewer–approver trail. Who can sign off each stage can be set through roles.

Act when a task changes stage

Workflow automation rules can create tasks or send emails when a task enters a status, so the next phase starts without someone remembering to trigger it.

Example: a typical year-end job

  1. Records requested → in progress → prepared by the senior.
  2. Reviewed by the manager, with review points left as comments.
  3. Approved by the partner; an automation emails the client that accounts are ready to sign.

Illustrative example — adapt it to your own practice's process.

Frequently asked questions

Can I control who approves work?

Yes. Checklist stage permissions are part of roles, so you choose who can mark items Prepared, Reviewed or Approved.

Can a change in status trigger actions?

Yes, where you've set up workflow automation rules for that status.

Why recording every task matters in an accountancy practice

Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.

Avoid penalties

HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.

Nothing depends on memory

Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.

Consistent quality

Subtask checklists make every job follow the same steps and reviews, whoever does the work.

Visibility for managers

Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.

Practical tips from UK practice

  • Set an internal deadline two to four weeks before every statutory deadline.
  • Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
  • Break larger jobs into subtasks, including a review step.
  • Comment on the task instead of by email, so the history stays with the work.
