Tasks
Create a Quick Task
Not every job comes from a service. Quick Task is for ad-hoc work such as a VAT registration review, an internal meeting or a one-off client query.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Plenty of accounting work does not start from a recurring service. A client asks whether they need to register for VAT, a partner wants an internal meeting minuted, or a one-off HMRC letter needs a reply. Quick Task captures that work in seconds so it is planned, tracked and costed like everything else. Type a new task name or pick an existing one, set the Task Status and Priority, and enter an estimated time in hours and minutes so managers can see the effect on capacity. The "Is this task billable?" toggle separates chargeable client work from internal time. Every quick task takes both an Internal Deadline and an External Deadline, which lets you build in a buffer ahead of the date that really matters. Assign one or more people, then write clear instructions in the rich-text editor; in the example, the team is asked to check whether Kestrel Logistics has passed the VAT threshold, compare the flat rate and standard schemes and prepare the VAT1 registration. Add tags such as VAT to group the job with similar work. Finish with Create Task, or choose Create Reminder. If the job turns out to belong to a client service, switch to Detailed Task.
Everything on one screen
Pick or type a task name, set status and priority, estimate hours and minutes, mark it billable, set internal and external deadlines and choose assignees. Switch to Detailed Task when the job belongs to a client service.
What you can see
- Quick Task and Detailed Task tabs at the top.
- Select or Create Task Name, here VAT registration review.
- Task Status, Priority and Estimated Time (Hours and Minutes).
- "Is this task billable?" toggle and Make Recurring button.

Why it matters: Ad-hoc work gets a time budget, an owner and a buffer before the real deadline from the moment it is created.

Use the rich-text editor for instructions, add tags, then Create Task or Create Reminder.

Why recording every task matters in an accountancy practice
Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.
Avoid penalties
HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.
Nothing depends on memory
Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.
Consistent quality
Subtask checklists make every job follow the same steps and reviews, whoever does the work.
Visibility for managers
Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.
Practical tips from UK practice
- Set an internal deadline two to four weeks before every statutory deadline.
- Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
- Break larger jobs into subtasks, including a review step.
- Comment on the task instead of by email, so the history stays with the work.
