For firms with multiple teams

Practice management software for mid-sized accountancy firms

Once several teams share a client book, the problem is no longer remembering deadlines — it is knowing where every job stands, who owns it, and what is waiting on review. Remindoo gives managers and partners that view without a weekly status meeting.

What matters at this size

Ownership per client

Every client has a manager and a team, so nothing sits in a shared queue that belongs to nobody.

Partner-level visibility

Dashboards replace the Monday status meeting: what is overdue, what is at risk, what is waiting on clients.

Departmental permissions

Accounts, tax, payroll and bookkeeping teams see their own work, with wider access for managers and partners.

Capacity and workload

See who is loaded and who is not before deadline season, rather than after a missed filing.

Onboarding at volume

Standard onboarding with engagement letters, AML checks and record requests, so a new client starts the same way every time.

Cost as you grow

Per-user licensing punishes the firms that hire. Remindoo charges per active client with unlimited users, so a reviewer, an apprentice, an outsourced preparer and a partner all have their own login at no extra cost. Compare your current per-user bill on the Switch & Save page.

A phased rollout

Larger firms rarely move everything at once. Standardise one service line, prove the workflow with one team, then extend across departments. Our implementation guide and checklist set out a realistic sequence, including data, templates, permissions and training.

Questions from larger firms

What changes when a firm reaches 10 to 50 staff?

Work stops being visible by walking across the office. You need defined review stages, clear ownership per client, reporting by team and manager, and permissions that reflect who should see what. Process becomes the product.

Does Remindoo support preparer, reviewer and approver stages?

Yes. Workflows can move a job through preparation, review and approval, so the reviewer sees what is ready and the partner sees what is waiting on sign-off.

How do permissions work across departments?

Roles and permissions control access, and advanced employee roles on the Growth plan allow more granular control for larger teams with accounts, tax, payroll and bookkeeping departments.

Do we pay more as we hire?

No. Pricing is per active client with unlimited users, so growing the team, adding reviewers or bringing in outsourced staff does not increase the licence cost.

Can partners see practice-wide status without asking managers?

Yes. Dashboards show work in progress, overdue items and what is waiting on clients across the whole firm, by client, team or manager.

How long does implementation take for a larger firm?

It depends on how many services you standardise first. Most firms start with one service line and one team, prove the workflow, then roll out. Our implementation guide sets out a realistic phased approach.

Can we run it alongside our existing tax and accounts production software?

Yes. Remindoo is the practice management and client layer. Firms normally keep production software and replace spreadsheets, trackers and separate portals.

What about AML across a bigger client book?

Risk assessments and digital ID, AML and proof-of-address checks are built in, with the results held against the client record for your MLRO's reviews and your supervisor's inspection.

Built for UK practice growth

Every deadline. Every client. One system.

Start with the workflows that cause the most chasing, then bring leads, AML, proposals and clients into the same calm operating system.

Why recording every task matters in an accountancy practice

Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.

Avoid penalties

HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.

Nothing depends on memory

Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.

Consistent quality

Subtask checklists make every job follow the same steps and reviews, whoever does the work.

Visibility for managers

Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.

Practical tips from UK practice

  • Set an internal deadline two to four weeks before every statutory deadline.
  • Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
  • Break larger jobs into subtasks, including a review step.
  • Comment on the task instead of by email, so the history stays with the work.
