Proposal Software for Accountants and Bookkeepers

Remindoo is proposal software for accountants that brings proposal creation, engagement letters, pricing, electronic signatures, tracking and automation into one practice management system. Your firm builds each proposal from a reusable template, prices it from a shared catalogue and tracks it until the client signs.

Create proposals for existing or new leads

Create a proposal for an existing lead, or enter a new lead as you go. Choose an engagement-letter template, enter the proposal name, lead information, email addresses and contact details, and import company information directly from Companies House. The builder moves through Lead Information, Pricing and Send Email stages, so details are entered once and sales flows straight into onboarding.

Lead management

Track every proposal through a visual pipeline

Table and Kanban views

Proposals move through five statuses: Draft, Sent, Signed, Declined and Archived. The Kanban view shows the proposal count and total value in each stage. Cards show name, lead, price and status, can be customised, and open straight into the proposal. Partners can see outstanding opportunities, signed work and pipeline value without building a report.

Search, filter and organise proposals

  • Search proposals and sort columns
  • Advanced filters, including by status
  • Select multiple proposals
  • Show or hide table columns
  • See who created and sent each proposal
  • View creation and sent dates

Build professional engagement letters and proposals

The drag-and-drop document builder turns your engagement letter into a reusable template, so every proposal is consistent and on brand.

  • Text blocks, headings, images and logos
  • Signature, initial and text input fields
  • Date pickers, checkboxes and radio buttons
  • Pricing tables and service packages
  • Headers, footers and A4 pages
  • Page breaks, page reordering and multipage documents
  • Preview before sending

Automatically insert lead and company information

Merge variables fill in the lead name, company name, email address, client or lead address, your practice address and the document creation date. This removes copying between systems and reduces typing mistakes in client-facing documents.

Create a reusable products and services catalogue

  • Create reusable products and services with descriptions
  • Assign products to categories and business categories
  • Set products as active or inactive
  • Monthly or yearly pricing frequencies
  • Duplicate, edit or delete products
  • Search the catalogue

Automated proposal pricing for accountants

Pricing is one of the most time-consuming parts of a proposal. Remindoo lets you set pricing rules once and reuse them in every proposal, so fees stay consistent whoever prepares them.

  • Reusable pricing variables
  • Range and bracket-based pricing
  • Pricing based on configured business measurements
  • Monthly and yearly fees
  • Quantities and fixed discounts
  • Totals excluding VAT, VAT and totals including VAT
  • Reusable pricing tables

Example: a firm could use pricing brackets to calculate fees according to turnover, payroll size, transaction volume or another configured pricing variable.

Organise services with categories

Create named categories with descriptions, organise products and packages within them, see how many of each belong to a category and maintain category-specific offerings. Firms can separate services for different client types, industries or requirements.

Service categories

Build single and grouped service packages

Create single or grouped packages with a name, pricing frequency, category and price, then add them to proposal documents as reusable combinations of services.

Examples you might build (not supplied as defaults): bookkeeping, payroll, year-end accounts, company accounts and tax, startup accounting, and advisory packages.

Present transparent pricing tables

Pricing tables can show product or service, fee or monthly price, quantity, total fee, fixed discount, total excluding VAT, VAT and total including VAT. Clients see exactly what they pay for, and your team avoids spreadsheet calculations.

Send proposals and engagement letters electronically

Select recipients, use an email template, add a subject and message, attach the proposal document and add BCC recipients where supported. Sending details are recorded against the proposal for an audit trail.

Email templates

Capture electronic signatures

Signature, initial and date fields, together with interactive form controls, let clients accept engagement documents online. Once signed, a copy of the signed proposal is sent to each party, so the move from proposal to onboarding is quicker.

Electronic signatures

Automate proposal workflows by status

Configure status-based rules that create tasks or send emails when a proposal reaches a chosen status.

  • Create rules based on proposal status or conditions
  • Create tasks or send emails as the rule's action
  • Time actions before or after a selected period
  • Add associated templates or rule details
  • Select the responsible person or recipient
  • Activate, deactivate and edit rules
  • A rule runs when a proposal enters the selected status — not repeatedly while it stays there
  • It can run again if the proposal leaves and re-enters the status
  • A scheduled action is cancelled if the proposal no longer meets the status

See proposal details and activity information

Each proposal record shows its name, lead, price, current status, who created and sent it, creation and sent dates and a preview, with controlled deletion where permitted — giving the practice clear accountability.

From lead to signed engagement

Lead captured → proposal created → services and pricing selected → engagement letter generated → document sent → signature captured online with a copy sent to each party → the lead becomes a draft client → you pick the draft, update the details that are required and it becomes a full client ready for onboarding.

Why tracking leads and proposals matters

Every enquiry a practice fails to follow up is lost fee income. A clear pipeline shows which prospects need a reply, a proposal or a follow-up.

Faster replies

Prospects often contact more than one firm, so the firm that replies first and clearly has an advantage.

Consistent proposals

Templates and a services catalogue keep scope and pricing consistent whoever writes the proposal.

Signed terms from day one

E-signed engagement letters confirm scope and responsibilities before work begins.

No re-keying

Converting a won lead into a client keeps the details you already collected.

Practical tips from UK practice

  • Reply to every new enquiry within one working day.
  • Use lead statuses that match your real sales stages, and review them weekly.
  • Send the engagement letter with the proposal so the client signs once.
  • Record why lost leads were lost, to improve pricing and messaging.
