Quick answer

A client disengagement checklist covers giving proper notice, confirming what work is and is not complete, handing over records, removing agent authorisations, retaining AML and working papers, and closing the file. Remindoo tracks each step as a task so nothing is left half-finished.

How should notice be given?

In writing, in line with your engagement letter, stating the effective date and exactly which work will and will not be completed.

Ambiguity here is what turns a parting of ways into a complaint. Say plainly: we will complete the year to this date, we will not prepare the next return, our responsibility ends on this date. Check your professional body's guidance and your engagement letter terms before sending.

What has to happen on handover?

Respond to professional clearance, hand over the client's own records, settle fees, remove authorisations and retain your working papers under your retention policy.

Distinguish the client's records, which they are entitled to, from your working papers, which you retain. Keep AML records for the period your supervisor requires even after the relationship ends.

Turn this into a task and subtask template in Remindoo

Save each group as a task with subtasks, attach it to the right service and let recurring tasks create it for every client, every period. Each item gets an owner and a deadline, and nothing depends on someone remembering to print the list. See task and subtask templates.

What are the common mistakes?

  • Stopping work without written notice
  • Not stating which work is unfinished
  • Deleting the client record and losing the AML trail
  • Leaving recurring jobs and reminders running
  • Withholding the client's own records over unpaid fees without checking guidance
“Automated reminders and task templates save countless hours each week.”

Frequently asked questions

Do I have to give a reason for disengaging?

Not usually, but your engagement letter terms and professional body guidance govern notice and conduct. Check both before sending.

Can I hold records back for unpaid fees?

Rules on lien are limited and vary. Check your professional body's guidance before withholding anything, especially the client's own records.

How long should AML records be kept?

For the retention period your supervisory body and the regulations require, which continues after the relationship ends.

Should the client record be deleted?

No. Mark them as a former client so the history, AML records and correspondence trail remain available.

Who responds to professional clearance?

Assign it to a named person with a deadline; slow clearance responses are a common complaint against firms.

What about MTD clients mid-year?

Say clearly which quarterly periods you have submitted and which the client or new agent must handle.

Why tracking leads and proposals matters

Every enquiry a practice fails to follow up is lost fee income. A clear pipeline shows which prospects need a reply, a proposal or a follow-up.

Faster replies

Prospects often contact more than one firm, so the firm that replies first and clearly has an advantage.

Consistent proposals

Templates and a services catalogue keep scope and pricing consistent whoever writes the proposal.

Signed terms from day one

E-signed engagement letters confirm scope and responsibilities before work begins.

No re-keying

Converting a won lead into a client keeps the details you already collected.

Practical tips from UK practice

  • Reply to every new enquiry within one working day.
  • Use lead statuses that match your real sales stages, and review them weekly.
  • Send the engagement letter with the proposal so the client signs once.
  • Record why lost leads were lost, to improve pricing and messaging.
