Quick answer

Onboarding offshore or outsourced team members properly protects client data and sets clear expectations from day one. This checklist covers agreements, access controls, training and confirming who is doing what before any client work is handed over.

Why treat offshore onboarding differently from regular staff onboarding?

Offshore and outsourced team members are typically employed by a third-party provider rather than your firm, so agreements, access controls and data protection safeguards need to be confirmed before any client data is shared, not assumed to already be in place.

This is separate from, but works alongside, the outsourcing agreement and DPA signed with the provider itself.

What should offshore onboarding cover?

Confirm agreements are signed, access is limited to what's needed, and the individual understands your firm's confidentiality and quality expectations before starting client work.

Key areas

  • Confirming underlying agreements are in place
  • Setting up access on a least-privilege basis
  • Induction on your firm's processes and standards

Turn this into a task and subtask template in Remindoo

Save each group as a task with subtasks, attach it to the right service and let recurring tasks create it for every client, every period. Each item gets an owner and a deadline, and nothing depends on someone remembering to print the list. See task and subtask templates.

What are the common mistakes?

  • Sharing logins instead of setting up individual access
  • Starting client work before agreements are fully signed
  • Skipping induction on firm-specific quality standards
  • Not recording who has access to which client records

Frequently asked questions

Do offshore staff need their own logins?

Yes, individual logins with least-privilege access are best practice and make it much easier to track who accessed what.

Who is responsible if something goes wrong?

General guidance, not legal advice. Take advice on your contracts and data transfers. Responsibility is usually set out in your outsourcing agreement and DPA; check these before relying on assumptions.

Should offshore staff have access to all client files?

No, limit access to the specific clients and tasks they are working on.

Do we need to redo this for every new offshore team member?

Yes, treat each individual as a fresh onboarding, even if the provider relationship is already established.

Does Remindoo control who has access to client records?

Remindoo's roles and permissions features let you control what different users can see and do within your account; the underlying legal safeguards with the provider are separate and remain your firm's responsibility.

How is this different from the outsourcing agreement?

The outsourcing agreement and DPA cover the contractual relationship with the provider; this checklist covers the practical onboarding of individual people once those agreements are in place.

Why knowing what each employee is working on matters

In a growing practice, the partner can no longer hold every job in their head. Clear ownership and visible workload are what stop deadlines slipping when someone is on leave, busy or new.

Clear ownership

Every client and task has a named person, so nothing sits unassigned and clients get consistent answers.

Balanced workload

Seeing tasks per person helps managers move work before one person is overloaded and another is waiting.

Cover for absence

When work, notes and history live in one system, a colleague can pick up a job without starting from scratch.

Controlled access

Roles and permissions keep sensitive client and AML data visible only to people who need it.

Practical tips from UK practice

  • Group people into teams around services or client portfolios, and name a Team Lead for each.
  • Review the employee task breakdown weekly, not only when a deadline is missed.
  • Give new starters a limited role first, then widen access as they are trained.
  • Use bulk reassignment when someone leaves or goes on holiday, rather than moving tasks one by one.
