Tasks
Comments, Timeline and Emails from a Task
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Client work generates a constant stream of updates: records received, documents still missing, queries for the partner. When those updates live in personal inboxes, the job's history is lost the moment someone is away. Remindoo keeps the conversation inside the task. The Comments tab offers a formatting toolbar (bold, italic, underline, lists, links and more), file attachments up to 4.5 MB, and Like and Reply on each comment, for example a note that bank statements were received via the portal but fixed asset invoices are still outstanding. The Timeline tab records events in order, such as Comment, Subtask Edited and Email Sent, each with a date and time, and can be filtered and sorted with Latest on top. You can also email the client without leaving the task. Recipients default to the client's email on file, you can add more and BCC, and templates such as Year End Accounts fill in tokens like ::Client Name::, ::Company Name::, ::Next Accounts Due Date:: and ::HMRC CT Payment Date:: automatically. An Adjustable Tokens panel lists task tokens too. For information requests at year end, this means consistent, accurate emails sent from one place, with sent emails tracked under Email Logs.
Comments with formatting and files
Post formatted comments with attachments up to 4.5 MB; like and reply.
What you can see
- Comments tab with Add A Comment editor and a filter dropdown (All).
- Formatting toolbar: bold, italic, underline, strikethrough, lists, indent, link and colour.
- Attach File (Max 4.5 MB) and Post buttons.
- Posted comment tagged with the task name, Year-end accounts prep FY26.
- Like and Reply under each comment.
Why it matters: The full discussion stays with the job, so anyone picking it up can see what has happened.
A full timeline
Comments, subtask edits and emails sent appear in order, filterable and sortable.
What you can see
- Task Timeline with All filter and Latest on top sort.
- Comment event showing the posted note and an attachment.
- Subtask Edited event for Phase1 - Chasing Information.
- Email Sent event, for example to Kestrel Logistics Ltd.
- Date and time stamps on each event.
Why it matters: A dated audit trail shows exactly what happened on a job and when.
Email the client from the task
Recipients default to the client's email. Pick a template such as Year End Accounts and tokens like ::Company Name:: and ::Next Accounts Due Date:: fill in automatically.
What you can see
- Send Email dialog: "Recipients default to the client's email on file. You can still add more."
- Select Email Template: Year End Accounts.
- Recipients, Subject with tokens, and BCC field.
- Adjustable Tokens panel, such as ::Task Name::, ::Description::, ::Task Status:: and ::Task Progress Status::.
- Body with Key Deadlines tokens: ::Next Accounts For The Period Ended::, ::Next Accounts Due Date::, ::HMRC CT Payment Date::.
Why it matters: Templated emails with live tokens give clients accurate deadlines and consistent wording every time.
Frequently asked questions
What is task management software for accountants?
Software that turns each client service into a job with owners, deadlines, subtasks and time tracking, so the practice can see what is due, who is doing it and what is at risk. In Remindoo this is the Tasks module.
Can I email a client directly from a task?
Yes. The Send Email dialog defaults to the client's email, lets you pick a template such as Year End Accounts and fills in tokens automatically.
What appears on the task timeline?
Events such as comments, subtask edits and emails sent, each with a date and time, filterable and sortable.

Why a single client record matters
When client details, deadlines, documents and conversations are spread across inboxes and spreadsheets, time goes on searching instead of on client work.
One version of the truth
Everyone sees the same services, contacts, deadlines and notes for each client.
Accurate deadlines
Companies House sync brings in company details and filing dates, reducing manual errors.
Better client service
A full timeline means anyone can answer a client question with the history in front of them.
Secure document sharing
A client portal is safer than sending financial documents as email attachments.
Practical tips from UK practice
- Import companies from Companies House rather than typing details by hand.
- Record every service a client takes, so recurring work is created automatically.
- Add a short note after every important client call.
- Ask clients to upload documents through the portal rather than by email.
