Tasks
Bulk Task Actions
When someone goes on leave, a client leaves or a busy season ends, updating tasks one at a time wastes hours. Remindoo lets you select many tasks and act on them together.
Built for UK accountants, bookkeepers and growing accountancy practices.
How to do it in Remindoo
- Select tasks to snooze.
- Open the Snooze panel.
- Choose the date.
- Review snoozed work in the Snooze tab.
Snooze until a date
Hide tasks you cannot work on yet until a chosen date. Snoozed tasks sit in the Snooze tab.
In practice
How it works
Capacity changes quickly in an accounting practice. Someone is off sick in January, a batch of clients sends records late, or a set of accounts is approved and waiting for invoicing. Updating jobs one at a time wastes the hours you are trying to protect. In Remindoo, tick the tasks you want and a bulk bar appears showing how many are selected, with icons to create a subtask, assign, snooze, archive, update status, update progress status and delete. Bulk assign opens the Assign Tasks dialog, where you hand the batch to a team or to named employees, which is ideal for rebalancing workload across a pod or an offshore team. Update Status moves the selected tasks from their existing status to a new one, with a safety check: a task at Info Requested cannot be moved to Archive or Complete, so jobs still waiting on client information cannot be closed by mistake. Update Progress Status sets a workflow stage across every selected task, using stages such as Accounts & CT600 Filed & Proof Sent to Client, Accounts Approved But Invoice Pending, Filed Externally, Hold CT600 - Invoice Pending, Info Received - Reminders Off and Info Requested.
Select and act
Tick tasks to reveal the bulk bar: create subtask, assign, snooze, archive, update status, update progress status and delete.
What you can see
- Two tasks ticked in the list.
- "2 tasks selected" counter.
- Icons for create subtask, assign, snooze and archive.
- Icons for update status and update progress status.
- Red delete icon.
Why it matters: One selection replaces many repeated edits.
Reassign in bulk
Hand a batch of jobs to a team or to named employees.
What you can see
- Assign Tasks dialog.
- Selected Assignee area ("No selection yet").
- Teams and Employees tabs with search.
- Teams such as VAT Team, Off shore team, BDM, HR, Personal Tax and Accounts with member counts.
- Cancel and Save Assignees.
Why it matters: Reallocating a batch of jobs takes seconds when deadlines or staffing change.
Change status safely
Move tasks to a new status. Remindoo blocks Archive or Complete while a task is still at Info Requested.
What you can see
- Update Status dialog.
- Existing Status showing the current statuses (In-Progress, Not started).
- New Status dropdown.
- Warning: a task with Info Requested status cannot be changed to Archive or Complete.
- Cancel and Update buttons.
Why it matters: The safeguard stops jobs still waiting on client information from being closed early.
Update progress status
Set a progress stage such as Accounts Approved But Invoice Pending, Hold CT600 - Invoice Pending, Info Received - Reminders Off, or Accounts & CT600 Filed & Proof Sent to Client.
What you can see
- Update Progress Status dialog with Existing Progress Status (Info Requested).
- Searchable New Progress Status list.
- Accounts & CT600 Filed & Proof Sent to Client; Accounts Approved But Invoice Pending.
- Filed Externally; Hold CT600 - Invoice Pending.
- Info Received - Reminders Off; Info Requested.
Why it matters: Workflow stages that reflect accounts, CT600 and invoicing steps keep the whole team aligned on where each job stands.
Actions you can take in bulk
- Reassign selected tasks to another team member
- Archive completed or no-longer-needed work
- Snooze tasks you can't progress yet
- Add subtasks to many tasks at once
- Delete tasks that shouldn't exist
Archive keeps the history
Archived and completed tasks are kept out of your current list but remain available when you need to look back.
Controlled by permissions
Deleting and reassigning are role permissions, so you decide who can make bulk changes. Deleting asks for confirmation and is permanent.
Example: a bookkeeper goes on maternity leave
- Filter tasks by the bookkeeper as assignee.
- Select all open tasks.
- Reassign them to two colleagues in two bulk actions.
Illustrative example, adapt it to your own practice's process.
Frequently asked questions
Filter the task list, for example by the current assignee, select the tasks you want to move, choose reassign and pick the new team member. All selected tasks move in one action.
Select the completed or no-longer-needed tasks from the task list and choose archive. They leave your current list but stay available to look back on.
No. Deleting is permanent, so archive work you may need to refer to later.
People whose role allows the relevant actions, such as reassigning or deleting tasks.
Create subtask, assign, snooze, archive, update status, update progress status and delete.
Tasks at Info Requested cannot be moved to Archive or Complete, which prevents closing jobs still waiting on client information.

Why recording every task matters in an accountancy practice
Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.
Avoid penalties
HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.
Nothing depends on memory
Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.
Consistent quality
Subtask checklists make every job follow the same steps and reviews, whoever does the work.
Visibility for managers
Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.
Practical tips from UK practice
- Set an internal deadline two to four weeks before every statutory deadline.
- Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
- Break larger jobs into subtasks, including a review step.
- Comment on the task instead of by email, so the history stays with the work.
