Recurring Tasks
Payroll runs, bookkeeping, WIP reviews and management accounts come round on a schedule. Make any task recurring and Remindoo creates the next one for you.
Built for UK accountants, bookkeepers and growing accountancy practices.

How it works
A large share of practice work comes round on a fixed cycle: monthly payroll and bookkeeping, quarterly VAT and management accounts, yearly accounts and Self Assessment, and internal routines such as a Weekly WIP & Job Progress Review. Recreating these jobs by hand wastes time and risks something being missed. In Remindoo, any task can be made recurring from the task form. Choose a Refresh on date and a frequency (Weekdays (Mon–Fri), Daily, Weekly, Fortnightly, Monthly, Quarterly or Yearly), then set the ending type: End After Certain Number of Tasks, End on Certain Time or No End Date. A Recurring Summary explains in plain English what will happen, for example that the task will refresh from the selected start date, repeat at the selected frequency and never end. Once scheduled, every repeating job appears in the Recurring Tasks manager with its assignees, start date, frequency, end and next refresh date. Search, filter by frequency or ending type, and edit or delete any schedule. For practice owners, recurring tasks turn predictable compliance into a dependable pipeline of work that shows up ready to assign.
Schedule a recurring task
Click Make Recurring, choose a refresh date and frequency, then decide how it ends: after a number of tasks, on a date, or never. A summary explains exactly what will happen.
What you can see
- Schedule Recurring Task dialog: "Set a task to repeat to your requirements."
- Refresh on date and Frequency fields.
- Set Ending Type: End After Certain Number of Tasks, End on Certain Time, No End Date.
- Notice "This task will never end." when No End Date is chosen.
- Recurring Summary panel describing the schedule.
Why it matters: The summary confirms the schedule before you commit, so repeating jobs are set up correctly first time.
Seven frequencies
Weekdays (Mon–Fri), Daily, Weekly, Fortnightly, Monthly, Quarterly or Yearly.
What you can see
- Frequency dropdown open.
- Weekdays (Mon-Fri) and Daily for routine work.
- Weekly and Fortnightly for reviews and payroll cycles.
- Monthly and Quarterly for bookkeeping, VAT and management accounts.
- Yearly for annual compliance.
Why it matters: Seven frequencies cover the compliance and internal cycles a UK practice runs.
Manage all recurring tasks
The Recurring Tasks list shows each task's assignees, start date, frequency, end and next refresh date, with search, frequency and ending-type filters, and edit or delete buttons.
What you can see
- Recurring Tasks list with a search box and a count of tasks shown.
- Frequency and Ending Type filters.
- Columns: Task name, Assignees, Start Date, Frequency, End and Refresh at.
- Examples such as Practice, Weekly WIP & Job Progress Review and Monthly Bookkeeping & Management accounts.
- Edit (pencil) and delete (bin) buttons on each row.
Why it matters: All repeating work is managed in one list, so schedules are easy to audit and change.
Choose how often work repeats
- Weekdays, daily, weekly, fortnightly, monthly, quarterly or yearly
- Set on an individual task or through a service template
- Deadlines move forward with each new occurrence
Link repeat work to client services
When recurring work is driven by a service template, each client's trigger date, such as their VAT filing date or payroll run date, sets when the next task is created and when it's due.
Keep each period separate
Each occurrence is its own task, so comments, time recorded and checklist progress stay with the period they belong to.
Example: monthly payroll for 40 clients
- Add the payroll service to each client with their payroll run date.
- The service template creates the month's payroll task for each client.
- When March's payroll is complete, April's task follows on its own schedule.
Illustrative example, adapt it to your own practice's process.
Frequently asked questions
Weekdays, daily, weekly, fortnightly, monthly, quarterly and yearly.
Yes. Each occurrence is a separate task, so its comments, time and checklist progress stay with that period.
Use a recurring task for one-off repeat work. Use service templates when the same work repeats for many clients, so it's driven by each client's own dates.
Choose an ending type when scheduling (after a number of tasks or on a set date), or edit or delete the schedule from the Recurring Tasks list.
Yes. The Refresh at column in the Recurring Tasks list shows the next refresh date.

Why recording every task matters in an accountancy practice
Accounting firms run on deadlines: VAT returns, payroll, confirmation statements, accounts and Self Assessment. Recording every job as a task, with an owner and a date, is the simplest way to make sure nothing is missed.
Avoid penalties
HMRC and Companies House charge penalties for late filing. A task for every deadline, with an internal date before it, gives the team a buffer.
Nothing depends on memory
Recorded tasks mean work continues when someone is off sick, on leave or has left the firm.
Consistent quality
Subtask checklists make every job follow the same steps and reviews, whoever does the work.
Visibility for managers
Filters by owner, status and deadline show at a glance what is late, what is due and who needs help.
Practical tips from UK practice
- Set an internal deadline two to four weeks before every statutory deadline.
- Use recurring tasks for repeat work such as VAT, payroll and bookkeeping.
- Break larger jobs into subtasks, including a review step.
- Comment on the task instead of by email, so the history stays with the work.
