How Accountants Manage Workflow and Deadlines
A practical UK guide to running accounting workflow: service-driven tasks, recurring jobs, review checklists, time tracking, Kanban and AI risk alerts.
Built for UK accountants, bookkeepers and growing accountancy practices.
How it works
Well-run UK practices treat statutory deadlines as the last line of defence, not the target. Year end accounts and CT600, Self Assessment by 31 January and quarterly VAT all depend on clients supplying information in time, so the practical answer is to set an internal deadline well ahead of each statutory date and manage to that. Start by turning every service into a task with a time budget and phases: in Remindoo, linking a task to Accounts - Year End + CT600 brings in an 8-hour estimate and subtasks from Chasing Information through Accounts Preparation, Internal Review & QA and Clients Review. Recurring tasks take care of the predictable cycle, from weekly WIP reviews to monthly bookkeeping. Time tracked on each subtask shows where hours go and separates billable client work from internal time. Before anything is released, a review checklist records Preparer, Reviewer and Approver sign-off against points such as checking CT600 dates and cross-referencing Companies House filings. Finally, review risk weekly. AI Task Analysis flags jobs that look safe on dates but have stalled, with blockers and recommended next steps, so chasing starts early rather than in the final week.
A ten-step accounting workflow
- Turn every service into a task
- Break jobs into phases (chasing, preparation, review, client approval)
- Set internal deadlines ahead of statutory ones
- Assign teams, partners and managers
- Automate repeating work with recurring tasks
- Track time on every subtask
- Use a review checklist with sign-off
- Watch the board in Kanban
- Filter and bulk-update to rebalance work
- Use AI Task Analysis to spot risk early
Why internal deadlines matter (CT600, Self Assessment, VAT)
Give every job an internal deadline ahead of the statutory one, split it into phases, and review risk weekly.
The task table shows colour-coded external and internal deadlines alongside priority, progress status and a progress bar.
Client, service and subtasks
Choose the client and service (here Accounts - Year End + CT600). Remindoo fills in the estimated time (8 hours) and lists the service's subtasks: Phase 1 Chasing Information, Phase 2 Assess Info Received, Phase 3 Accounts Preparation, Phase 4 Internal Review & QA, Phase 5 Client Review and Before & After Completing Accounts.

Chasing information without losing time
Service-driven subtasks include Chasing Information, Assess Info Received, Accounts Preparation, Internal Review & QA and Client Review. Each phase has its own status, timer, checklist, assignees and progress bar.
Email the client from the task using templates and tokens, and see comments, subtask edits and emails sent on its timeline.
Billable vs non-billable time
Mark a task billable when creating it. Run a timer on each subtask; Remindoo keeps a time log per task showing subtask, start and end time, duration and who logged it.
Quality control and review sign-off
Review checklists include Preparer, Reviewer and Approver sign-off on every point. Add a note and filter the list by status.
Checks include verifying Companies House data, checking dates across CT600 and the final PDF, and cross-referencing filed accounts.
